Job summary

McMillen, Inc. in Boise, Idaho is seeking a Proposal Coordinator to support the pursuit process within our Marketing team.

You will assist with proposal production, coordination, compliance, and asset maintenance, collaborating with Proposal Managers to deliver high-quality proposals. This role emphasizes meeting deadlines, maintaining proposal systems (Cosential/Unanet), and improving processes while helping prepare qualifications packages, presentations, and interview materials for water

Qualifications

• Bachelor’s degree in Marketing, Communications, Journalism, English, Business, Public Relations, or related field.
• 3–5 years of experience in Architecture, Engineering, and Construction (AEC) proposal development.
• Experience supporting federal proposals (e.g., SF330) and multidisciplinary engineering pursuits.
• Proven ability to mentor junior staff and manage proposal processes.
• Knowledge of proposal operations, systems, and process improvements.

Responsibilities

• Supports Proposal Managers in development, coordination, production, and delivery of high-quality proposals and marketing collateral.
• Performs proposal production activities including formatting, editing, graphics coordination, compliance reviews, and submittals.
• Coordinates schedules, content collection, and follow-ups with technical staff and partners.
• Maintains proposal assets such as resumes, project descriptions, and marketing resources.
• Assists with interview prep by supporting presentation development and logistics.
• Follows established proposal processes, document management standards, and quality control practices.
• Keeps proposal files organized per departmental standards.
• Updates Cosential/Unanet CRM and other systems as assigned.
• Collaborates across departments to support successful proposal delivery.
