- Works collaboratively with technical leads to gather information needed to prepare winning proposals, qualifications submittals, and interview presentations.
- Initial proposal kickoff meetings as necessary to define expectations, identify tasks and assign technical lead responsibilities, and develop production schedule; complete tasks and assigned responsibilities, and adhere to proposal schedule; draft/edit text; schedule reviews; final submittal production and delivery.
- Writing and editing of resumes and project descriptions, keeping resumes current, the development and maintenance of proposal materials, research, and other miscellaneous coordination; uses internal database tracking information to support proposal efforts.
- Uses project management and communication skills to manage, organize, and prioritize multiple projects and meet competing deadlines.
- Diagnoses issues in need of escalation; promptly reports issues to Manager and asks for help.
- Participates in pursuits coordination and strategy meetings as needed across all Southeastern Engineering, Inc. discipline departments, supporting development of content for proposals, and creating proposal collateral.
- Monitor procurement websites for upcoming proposals at GDOT, Metro Atlanta Counties, Cities and CID’s.
- Tracks status internal RFP submissions as both prime and sub-consultant roles.
- Maintain database of GDOT wins by team to track recompete opportunities.
- Ensure that all preproposal meetings are covered by Southeastern Engineering, Inc. staff.
- Coordinate with other firms for teaming purposes and respond to requests for forms and information.
- Provides QA/QC review for Digital Project Coordinator for newsletter and various ad hoc requests.
- Provides weekly outreach status to Southeastern Engineering, Inc. upper management.
- Develop and refresh brand proposal content (executive summaries, resumes, etc.) while maintaining brand consistency.
- Refine/enhance/streamline/document the proposal development process:
- Create checklist outlining the proposal development process steps.
- Crate a database of experience and qualifications by maintaining master templates, copy, project descriptions, staff resumes, etc.
- Develop Master organizational chart by qualifications.
- Organize and archive proposal documents, photos, associated files for future use.
- Track proposal outcomes, maintaining records of wins, losses, feedback, etc.
- Receives support, as needed, by marketing staff for RFQ endeavors and directs additional work that is required.
