Overall Responsibility:
The Proposal Coordinator will be responsible for leading all proposal development efforts. This position requires close coordination with SEI management and all Key Team Leads (KTL) to deliver RFP/RFQ responses.
Key Areas of Responsibility:
- Collaborate with technical leads to gather information for proposals, qualifications, and interview presentations.
- Conduct initial proposal kickoff meetings to define expectations, assign tasks, develop schedules, draft/edit content, and oversee final submission.
- Write and edit resumes and project descriptions; maintain proposal materials and research; utilize internal databases for proposal support.
- Manage multiple projects using project management and communication skills to meet deadlines.
- Identify and escalate issues promptly to management.
- Participate in pursuit coordination and strategy meetings, support proposal content development, and create proposal collateral.
- Monitor procurement websites for upcoming proposals and track RFP submissions for both prime and sub-consultant roles.
- Maintain a database of GDOT wins and opportunities for recompete.
- Ensure preproposal meetings are attended by SEI staff.
- Coordinate with other firms for teaming and respond to information requests.
- Provide QA/QC review for newsletters and ad hoc requests.
- Report weekly outreach status to upper management.
- Develop and update brand proposal content, ensuring consistency.
- Streamline and document the proposal development process, including creating checklists, maintaining templates, and organizing files.
- Track proposal outcomes and maintain records of successes and feedback.
- Support RFQ endeavors with marketing staff and handle additional duties as assigned.
Experience, Proficiencies, Skills, and Certifications:
- Bachelor’s degree in Marketing, Communications, or related field.
- Experience supporting proposals in the A/E/C industry.
- 2-4 years of experience in architectural and engineering proposal preparation for various clients.
- Strong project management and organizational skills.
- Ability to create efficient workflows and manage multiple deadlines.
- Exceptional writing, editing, and formatting skills.
- Excellent interpersonal and communication skills.
- Detail-oriented with good customer service and conceptual skills.
- Ability to work independently and in teams.
- Familiarity with regional proposal procedures.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Creative Suite.
