We are seeking a highly organized Project Specialist to support programs, projects, events, and operational initiatives. This is ideal for an early-career professional who enjoys coordinating complex projects and collaborating across teams.

Qualifications

  • Bachelor's degree required.
  • 1–2 years of project coordination/operations experience.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines.
  • Excellent communication and stakeholder management.
  • Experience with Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint).
  • Experience with project management tools (Asana, Monday.com, Smartsheet, Trello) a plus.
  • Experience with databases/CRM or membership management platforms preferred.
  • Analytical mindset and ability to report on data.
  • Some evening/weekend support and limited travel may be required.

Responsibilities

  • Coordinate and support multiple programs and initiatives from planning through execution.
  • Manage project timelines, communications, documentation, and reporting.
  • Serve as a primary point of contact for participants, reviewers, volunteers, and stakeholders.
  • Track submissions, applications, deadlines, and deliverables.
  • Assist with meeting planning, scheduling, logistics, and follow-up activities.
  • Maintain records, SOPs, and program documentation.
  • Analyze data to support reporting and decision-making.
  • Identify opportunities to improve processes and workflows.
  • Support special projects and annual events throughout the year.

We're seeking a highly organized and detail-oriented Project Specialist to support a variety of programs, projects, events, and operational initiatives. This is an excellent opportunity for an early-career professional who enjoys coordinating complex projects, collaborating across teams, managing timelines, and contributing to meaningful work that supports scientific advancement and professional education.


What We're Looking For


  • Bachelor's degree required

  • 1-2 years of experience in project coordination, program administration, operations, nonprofit organizations, associations, higher education, or a related field

  • Strong organizational skills with exceptional attention to detail

  • Ability to manage multiple priorities and deadlines simultaneously

  • Excellent communication and stakeholder management skills

  • Experience with Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint)

  • Experience with project management tools such as Asana, Monday.com, Smartsheet, Trello, or similar is a plus

  • Experience working with databases, CRM systems, or membership management platforms is preferred

  • Analytical mindset with the ability to gather, interpret, and report on data

  • Some evening/weekend support may be required during peak program periods, along with limited annual travel
