Brief Description
The Project Funding Assistant position will work collaboratively as a member of the Project Funding team providing essential support to a variety of engineering departments in a fast-paced work environment. Candidate will assist the Project Funding Manager and Department Project Managers to meet Client project needs and audit the necessary milestones and deliverable requirements for each project including specific funding. Candidate will coordinate with specific departments and perform administrative quality assurance and quality control for all project related milestones necessary. He/she will also act as a Client liaison advising of necessary approvals and Client related deliverables.
Schedule
Candidate can expect to work approximately 100% of their week in the Flanders, NJ office (hybrid arrangements will be reviewed following 90 days of employment). Company hours are Monday – Friday, 8am to 5pm.
Examples Of Work / Duties
General Funding
- Align project authorizations with municipal finance appropriations process flow (i.e. general budget, operating, capital and/or capital or bond ordinances).
- Maintain a tally of incurred project costs to corresponding appropriations and communicate with SCE project team through each project milestone.
- Communicating with Client managers when additional funding appropriations are needed.
State & Federal Funding
- Maintain status of all project authorizations, SCE billed labor, Construction payments, all Change Orders (CO) (SCE and Contractor) to track appropriations with relative Bond Ordinance amounts by project.
- Prepare and maintain active project Grant / Loan disbursement forms and coordinate with Clients for reimbursements / progress payments.
- Maintain Project Authorizations folder with applicable Engineering agreements and project related authorizations.
Advanced Administrative Support
- Assist State Revolving Fund (SRF) PM’s with Construction Admin Oversight (SED compliance, BABA compliance, DEP Change Orders compliance, Closeout compliance)
- Collaborate with the Proposals group to assign appropriate bond ordinance numbers as reference to municipal CFO’s on outgoing proposals, to secure timely authorizations.
- Maintain all Funding marketing material current for use on qualifications packages, associated cover letters, and project profile sheets.
- Coordinate with Marketing Department the data collection needed for preparation and execution of constant contact and social media posts pertaining to any Funding related topics.
- Balance competing deadlines effectively.
- Meet aggressive task deadlines.
- Adapt to quick turnaround and last-minute changes for task deadlines.
Basic Operations Support
- Provide VantagePoint support to SRF project PM or other project team members with:
- Reconciliation and/or Analysis of Project Budgets as needed/requested from project team
- Updated project status as applicable
- Assist PM’s with set-up, coordination and communication to Operations of necessary Work-at-Risk or Write-Off’s needed for any SRF project.

Requirements (education, Licensing, Certifications, Etc.)
- Possess a valid driver’s license.
- 5+ years of general business experience.
- Bachelor’s Degree in Business Administration
- Proficient in Microsoft Office Suite.
- Previous Architectural / Engineering or Construction industry experience is preferred.
- Previous experience with Deltek Vantagepoint preferred.
