Job summary

WSP USA is seeking a Project Coordinator to support project managers and project teams across multiple locations, including Tempe, AZ. You will handle administrative duties throughout the project lifecycle, ensuring proactive communication and timely deliverables, while maintaining calendars, reviews, and documentation.

The role requires strong organizational skills, 5+ years experience, and proficiency with MS Office.

Qualifications

  • High school diploma or GED required.
  • 5+ years of project coordination experience.
  • Ability to track and manage multiple deadlines.
  • Excellent verbal and written communication skills.
  • Proficient with MS Office applications (Word, Excel, Outlook, PowerPoint).
  • Familiarity with Bluebeam is an advantage.
  • Familiarity with Smartsheet is an advantage.
  • Experience with cloud-based file sharing platforms such as SharePoint/ShareFile/Newforma/Dropbox/Box is an advantage.
  • Strong computer and typing skills.
  • Self-motivated and flexible, willing to learn.

Responsibilities

  • Coordinate with project team during proposals to meet deadlines and complete reviews.
  • Support the project manager with internal communications and follow-up.
  • Maintain project calendar including deliverables and QC deadlines; publish to team.
  • Assist in scheduling internal meetings, kick-offs, and design reviews.
  • Review project financial reports and communicate issues to the team.
  • Create and maintain project Smartsheets and document file storage.
  • Track invoices and project payments.
  • Review deliverables against deadlines and ensure compliance.
  • Assist in RFIs, submittals and responses; organize documents.
  • Edit and format specifications as needed.
  • Prepare materials for project pursuit.
  • Process contracts and sub-consultant contracts.
  • Attend meetings; take notes and distribute them.
  • Generate project financial management reports.
  • Track scope changes and update project budgets.
  • Create and maintain project document storage in the standard directory.

Project Coordinator

kW MCE is seeking a Project Coordinator for the following locations: Tempe, AZ; Atlanta, GA; Troy, NY; Herndon, VA; Milwaukee, WI. The Project Coordinator will support the Project Manager and project teams with administrative duties throughout the project lifecycle, taking a proactive role to move the project forward and enhance communication with the team and Client.

Your Impact
  • Coordinate with the project team during the proposal process to ensure all deadlines are met and reviews have been completed.
  • Support the project manager with internal communications and follow-up.
  • Maintain project calendar including deliverables, QC deadlines and publish to team.
  • Assist in scheduling internal team meetings, project kick-offs, design reviews, etc.
  • Assist in reviewing project financial reports and communicate issues to team.
  • Create and maintain project Smart Sheets and document file storage.
  • Track invoices and project payments.
  • Review deliverables during project deadlines.
  • Ensure projects meet all internal compliance requirements.
  • Assist the project team in receiving, filing, distributing, processing, tracking due dates and responding to RFIs, submittals and responses.
  • Provide support for editing and formatting of specifications.
  • Assist in preparation of any materials required for project pursuit.
  • Process contracts and sub-consultant contracts.
  • Attend project, department and team meetings, take notes, and distribute notes internally and externally as required.
  • Generate project financial management reports.
  • Track scope changes and update project budgets accordingly.
  • Create and maintain project document file storage within the standard project directory structure.
Required Qualifications
  • High School Diploma or GED.
  • 5+ years of experience.
  • Deadline-oriented, ability to track and maintain multiple concurrent deadlines.
  • Excellent verbal and written communication and problem‑solving skills.
  • Proficient with MS Office applications (Word, Excel, Outlook, PowerPoint).
  • Familiarity with Bluebeam is an advantage.
  • Familiarity with Smartsheet is an advantage.
  • Working knowledge of cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is an advantage.
  • Strong computer and typing skills.
  • Self‑motivated and flexible, willing to learn.

Compensation
