Summary:
A project request arrives, gets clarified, becomes a set of assigned tasks, and closes with confirmed outcomes and clear handover notes. The Project Coordinator organizes that journey within the project management team, working under a project manager to keep routine business projects moving. This role works with requesters, task owners, department contacts, and project managers to maintain shared plans and surface missing information before it delays delivery. This fully remote, desk-based position supports work from home in Indiana, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Receive project requests through a shared email queue, check the requested outcome and target dates, and identify information needed before planning begins.
- Clarify scope, expected deliverables, and requester priorities with the project manager, recording agreed details so task owners share the same starting point.
- Organize approved work in a Project management tool such as Jira, maintaining task descriptions, assigned owners, dependencies, milestones, and current completion dates.
- Prepare draft project schedules for manager review, checking task order and owner availability before sharing the agreed plan with participating departments.
- Arrange project discussions using a Scheduling and calendar tool such as Microsoft Outlook, circulating agendas and confirming that relevant task owners can attend.
- Record decisions, action items, and due dates after meetings, then distribute concise updates that distinguish completed work from items still awaiting action.
- Follow up with task owners on approaching deadlines, check whether dependencies are ready, and update the project plan with confirmed progress.
- Flag overdue actions, conflicting priorities, scope changes, or delivery risks to the project manager promptly, including context and any decisions needed.
- Maintain coordination quality through accurate schedules, timely updates, complete notes, and consistent follow-up, using feedback from the project manager to correct gaps.
- Confirm deliverable handover with requesters and owners, record remaining actions, and organize closure notes and lessons learned for the project manager's review.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience in project coordination, project support, or related administrative work preferred.
- Understanding of project stages, milestones, dependencies, deliverables, and the distinction between coordinating work and approving changes.
- Familiarity with maintaining task boards and project schedules; experience with Jira preferred, including updating owners, dates, and task status.
- Ability to organize meeting arrangements and shared calendars; experience with Microsoft Outlook preferred.
- Clear written and verbal communication for progress updates, meeting notes, clarification questions, and constructive follow-up with busy colleagues.
- Ability to compare planned and actual progress, spot missing information, and raise concerns without independently changing agreed scope.
- A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
- Fully remote work from home, with responsibilities centered on online project coordination and communication.
- Structured onboarding and training on the named systems, Jira and Microsoft Outlook, and established project routines.

- Opportunities to build project planning, dependency tracking, meeting coordination, and practical stakeholder communication skills.
- Health coverage, paid leave, a 401(k), maternity leave, and stipends.
