Job Title:
Project Coordination Assistant
Monthly Pay:
$4,106 - $5,575 USD per month
Summary:
This role sits within a project coordination team guided by a project manager, working alongside project coordinators, task owners, and internal stakeholders. You provide administrative support that keeps assignments, meeting details, and progress updates organized so colleagues can deliver agreed project outcomes. Your work helps the team spot missing information, maintain shared visibility, and prepare timely handoffs without taking ownership of project decisions. This fully remote position lets you work from home in Colorado, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming project requests through shared email and task queues, checking that each request includes its purpose, assigned contact, requested date, and supporting information.
- Enter approved assignments into a project management tool such as Trello, recording task owners, milestones, dependencies, and due dates supplied by the project manager.
- Maintain project trackers using a Spreadsheets and data entry tool such as Microsoft Excel, checking entries against source updates and flagging inconsistent information.
- Organize meeting invitations, confirm participant availability, circulate agendas prepared with the coordinator, and make relevant project materials available before discussions begin.
- Capture meeting decisions and action items, confirm ownership with participants, and distribute concise notes that distinguish agreed actions from questions awaiting direction.
- Request progress updates from task owners, refresh milestone information, and follow up when updates are missing or an agreed completion date approaches.
- Compile task completion summaries and resource availability updates for the project manager, supporting progress monitoring across projects and routine project office reporting.
- Help maintain effort estimates by entering approved revisions and identifying missing inputs, leaving estimation decisions and changes to priorities with the project manager.
- Escalate overdue actions, conflicting dates, and unresolved dependencies to the project coordinator or project manager, describing the issue and previous follow-up clearly.
- Prepare completed tasks for review, confirm outstanding actions have an owner, and archive approved project materials; quality is judged by accuracy, turnaround, complete notes, and consistent follow-up.
Qualifications:
- High school diploma or equivalent.
- No experience required; related experience supporting projects, coordinating administrative tasks, or maintaining team trackers is preferred.
- Basic understanding of project milestones, dependencies, task ownership, and the distinction between administrative support and project decision-making.
- Willingness to learn shared task boards and spreadsheet trackers, including sorting entries, updating fields, and checking information before sharing.
- Ability to summarize discussions clearly, write courteous follow-up messages, and ask focused questions when project instructions are incomplete.
- Careful approach to handling shared project information, maintaining consistent file names, and using current versions of working materials.
- Reliable computer, high-speed internet, and quiet private workspace suitable for desk-based remote work and routine team discussions.
- Availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
- Fully remote work from home, with project support performed through shared digital workspaces and regular team communication.
- Structured onboarding and training on the named systems, Trello and Microsoft Excel, alongside guidance on established project routines.
- Regular check-ins with the team lead to review priorities, clarify questions, and discuss progress as you learn the role.
- Build practical skills in project coordination, stakeholder engagement, progress monitoring, and administrative support for project controls.
- Benefits include health coverage, paid leave, a 401(k), maternity leave, and stipends.
