Monthly Pay:
$4,299 - $5,802 USD per month
Summary:
Each shift begins with the program request queue: emails, task updates, and upcoming milestones needing coordination. The Program Coordinator organizes activities, keeps schedules current, and helps participants understand what happens next so program work moves forward without missed handoffs. This role sits within the program management team, works under a program manager, and collaborates with project leads, task owners, and internal stakeholders. This is a fully remote, desk-based position offering work from home in Minnesota, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming program emails and queued requests at the start of each shift, identifying upcoming deadlines, unanswered questions, and activities requiring immediate coordination.
- Check each request for its purpose, requested completion date, responsible owner, and dependencies; ask the requester for missing information before adding work to schedules.
- Organize approved activities in a Project management tool such as Asana, recording task owners, milestones, due dates, dependencies, and the latest agreed next steps.
- Maintain program trackers using a Spreadsheets and data entry tool such as Microsoft Excel, checking entries against task updates and correcting inconsistencies with owners.
- Coordinate working sessions by confirming participant availability, circulating agendas, sharing relevant progress information, and ensuring each discussion has a clear purpose and expected outcome.
- Capture decisions, assigned actions, and target dates after meetings, then share concise recaps so participants can confirm their responsibilities and flag misunderstandings promptly.
- Follow up with task owners before approaching deadlines, request progress updates, and bring overdue actions or unresolved dependencies to the program manager for direction.
- Communicate approved schedule changes to affected stakeholders, update shared trackers, and confirm that revised handoffs are understood by both sending and receiving teams.
- Prepare progress summaries showing completed milestones, pending actions, and blockers; elevate conflicting priorities or requests outside the agreed scope to the program manager.
- Close completed activities after owner confirmation, retain clear completion notes, and prepare the next handoff; quality is judged through accuracy, turnaround, complete notes, and follow-up.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of experience in program coordination, project support, or related administrative coordination preferred.
- Understanding of program milestones, task dependencies, action tracking, and the difference between coordinating work and approving changes.
- Familiarity with shared project boards and spreadsheets, including updating task status, checking dates, sorting entries, and maintaining consistent trackers.
- Clear written and verbal communication for requesting updates, summarizing decisions, and explaining next steps to colleagues with different responsibilities.
- Ability to organize competing requests, recognize missing information, and raise scheduling conflicts without making unapproved commitments on behalf of others.
- A reliable computer, high-speed internet, and a quiet private workspace suitable for focused coordination work and remote meetings.
- Availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
- Fully remote work from home within Minnesota, with desk-based responsibilities and collaboration through shared online systems.
