Responsibilities

  • Manage project lifecycle from PO receipt to product delivery to job site.
  • Outline and delegate project tasks to ensure timely, accurate completion.
  • Conduct cost analysis and estimate project costs.
  • Maximize project profitability to support sales objectives.
  • Prepare submittal packages and shop drawings per schedules and customer needs.
  • Enter POs/contracts into Titan Precast PM Software.
  • Coordinate material orders and research pricing/availability.
  • Conduct risk assessments and recommend mitigation actions.
  • Address questions, concerns, and complaints during the project.
  • Oversee production and delivery on behalf of the customer.
  • Collaborate with internal departments to align timelines and expectations.
  • Maintain HubSpot CRM data accuracy.
  • Perform other related duties as assigned.

Job Summary

The Project Coordinator will manage the job order process from the point of receiving a purchase order to the delivery of the product to the job site. He/She acts as a liaison between the company, customers, and vendors.

Duties/Responsibilities
  • Manages the project lifecycle by completing associated tasks on time, to specifications, and with accuracy and efficiency.
  • Outlines the tasks involved in the project and delegates tasks as needed.
  • Conducts cost analysis, estimating expected costs for the project.
  • Maximizes profit for each project helping the sales department reach company objectives.
  • Completes the submittal package and shop drawings to the determined schedules and the needs of our customers and production department.
  • Enter PO or contracts into Titan Precast Management Software.
  • Coordinate the ordering of all material and research pricing and availability for the project ensuring accuracy and delivery time.
  • Conducts risk assessments; reports identified risks to management; provides recommendations for mitigation of risk (including termination of the project if appropriate).
  • Addresses questions, concerns, and/or complaints throughout the project.
  • Oversees production and delivery on behalf of the customer.
  • Communicates and collaborates with internal departments to ensure projects, timelines, and customer expectations are met.
  • Maintains the HubSpot CRM database.
  • Performs other related duties as assigned.
Required Skills/Abilities
  • Proven ability to manage multiple projects simultaneously, ensuring timely delivery and adherence to specifications.
  • Strong skills in cost analysis, budgeting, and risk assessment to support profitability and strategic decision‑making.
  • Excellent verbal and written communication skills; able to liaise effectively with internal teams, vendors, and customers.
  • Comfortable working with shop drawings, submittal packages, and industry‑specific software tools.
  • High level of accuracy in data entry, documentation, and order processing.
  • Ability to anticipate challenges, resolve issues proactively, and recommend improvements.
  • Strong time management and task delegation abilities to keep projects on track.
  • Responsive to client needs, with a commitment to delivering high‑quality service.
  • Experience supporting sales and marketing teams with product knowledge and training materials.
Education And Experience
  • High school diploma or equivalent required.
  • Experience in project coordination, construction, manufacturing, or related industry.
  • Degree, technical or vocational training in Business Administration, Construction Management, Engineering, or a related field preferred.
  • Experience with CRM systems (e.g., HubSpot) and project management software (e.g., Titan Precast Management Software) is highly desirable.
Physical Requirements
  • This is a largely sedentary role with frequent requirements to stand and walk.
  • Occasionally required to stoop, kneel, crouch, or crawl.
  • Must frequently lift and/or move up to 25 pounds.
  • Must meet vision requirements including visual acuity, depth perception, and color discrimination and must be able to read and interpret printed reports.
