Job summary

Ibarra Group LLC in Chicago is seeking a Project Coordinator to support planning, scheduling, and execution of metal fabrication projects. You will coordinate among office, shop, and field teams to keep projects on track and aligned with goals.

Qualifications

  • Experience in construction, steel fabrication, or a skilled trades environment preferred
  • Bilingual in English and Spanish Preferred

Responsibilities

  • Coordinate daily project activities between office, shop, and field teams.
  • Assist in scheduling workers based on project timelines.
  • Track project progress, assist with project accounting, production state, and milestones.
  • Communicate with clients, general contractors, and vendors regarding project updates.
  • Maintain and update project files, submittals, RFIs, and change order logs.
  • Prepare and distribute project documents including shop drawings and material certifications.

The organization produces a wide range of products, including steel stairs, ornamental fences, steel canopies, stainless steel handrails, miscellaneous metals, and specialty metal components. Projects are tailored to meet diverse structural and aesthetic requirements, serving commercial and residential clients. Team members collaborate in a hands‑on environment where craftsmanship, safety, and reliability are central to daily operations.

The Project Coordinator is responsible for supporting the planning, execution, and completion of projects. This role ensures that projects are organized, on schedule, and aligned with company goals by coordinating communication, tracking progress and assisting the Director of Operations and the Owner Operator.

Key Responsibilities
  • Coordinate daily project activities between office, shop, and field teams.
  • Assist in scheduling welders, fabricators, and field crew based on project timelines.
  • Track project progress, Assist with Project Accounting, production state, and job completion milestones
  • Communicate with clients, general contractors, and vendors regarding project updates
Project Administration
  • Maintain and update project files, submittals, RFIs, and change order logs
  • Prepare and distribute project documents including shop drawings, material certifications, and delivery tickets
  • Set up and maintain project folders in company management system
  • Assist in preparing project status reports and meeting minutes
Scheduling & Coordination
  • Support Director of Operations in maintainingproject schedules
  • Track material delivery dates and flag delays to Operations team
  • Coordinate logistics between the shop floor, field crews, and project leadership
  • Schedule inspections, site visits, and project meetings as directed
Communication & Support
  • Serve as a secondary point of contact for clients on routine document requests and inquiries
  • Communicate with vendors and suppliers to confirm order status and delivery timelines
  • Route incoming correspondence to the appropriate team member in a timely manner
  • Provide general administrative support to the Director of Operations and Owner as needed
What We’re Looking For
  • 1-3 years of project coordination experience in Construction field
