Specializing in Vizrt products and workflows, we have over 30 years of industry experience in the conception, production and successful delivery of full turnkey and bespoke on-air graphics solutions across all media platforms.

The Role:

As our production requirements continue to expand across the US, we are seeking a detail orientated Project Assistant to join our team. You will support office operations, manage day-to-day logistics, assist with travel and production logistics as well be involved in project lifecycle including documentation, coordination and onsite delivery. You are organised, reliable and comfortable supporting both administrative and project teams with a passion and understanding of the live broadcast environment. This is a full-time, in person role based in our Denver office.

You will be required to have flexibility with non-traditional hours and the ability to travel domestically to support project needs (if required). The salary range for this position is $40,000 - $50,000.

What you will do:

  • Coordinate travel and accommodation for team members attending productions and events
  • Managing office supplies and purchasing
  • Maintenance of physical office & space, inventory of kitchen, office supplies, and ensuring all have a clean and safe working environment
  • Administer HR procedures, including onboarding new employees & maintaining Bamboo HR
  • Organise and maintain digital files and documents across platforms
  • Providing exceptional hospitality to clients, vendors, and visitors
  • Expense management, including credit card reconciliations
  • Provide general executive support to the CEO and senior management team, including accurate meeting notes
  • Assist with pre-production planning and logistics (scheduling, booking gear, etc.)
  • Support on-site production setup and teardown, as needed
  • Help coordinate production timelines, shot lists, and crew communications
  • Maintain production supplies and ensure equipment readiness
  • Help document productions (call sheets, production reports, etc.)
  • Liaise between production staff and administrative team
  • Run errands and handle ad hoc production-related tasks as needed

Who you are:

  • Minimum 2 years of office management or administrative assistant experience
  • Experience in, or strong understanding of a live production or broadcast environment
  • Ability to multitask and manage shifting priorities efficiently
  • Excellent communication and interpersonal skills
  • Strong organizational and time-management abilities
  • Professional and personable demeanor with a service-oriented mindset

Experience with:

  • Google Suite (Docs, Sheets, Calendar)
  • Microsoft Office Suite
  • Adobe Creative Suite — with proficiency in InDesign
  • BambooHR (HR software)
  • Everlance (for mileage tracking)
  • Familiarity with production documentation such as call sheets, run of show, and asset tracking an advantage
