LinQ Global Group is seeking a Program Assistant to provide comprehensive administrative support for Office of Housing Stability programs, projects, and operations. The role will be located at 26 Court Street in Boston, MA, with no hybrid work arrangement.

The ideal candidate has at least two years of administrative experience, strong communication and organizational skills, and proficiency with MS Office, Salesforce, and Google Suite. Experience in housing or real estate is a plus.

Qualifications

  • Two years of full-time administrative experience, or equivalent part-time experience.
  • Strong communication, interpersonal, and follow-up skills.
  • Attention to detail and ability to manage multiple projects with minimal supervision.
  • Experience in public administration, housing, program management or real estate preferred.
  • Proficiency with MS Office (Word/Excel), Salesforce, Google Suite and related platforms.

Responsibilities

  • Provide information to clients via phone, in-person, email, or workshops with high customer service standards.
  • Provide administrative support related to programs, contracts and projects.
  • Perform data entry and maintain electronic and physical files.
  • Organize bulk mailings, email blasts, and outreach efforts.
  • Assist with preparation of RFPs, service orders, contracts, invoices and payments.
  • Prepare and track enrolment and commitment forms across departments.
  • Track and report on program budgets, production, and performance metrics.
  • Conduct research and prepare reports and presentations as requested.
  • Coordinate with units to ensure coverage and assist program efforts.
  • Provide support to other units as assigned.
  • Completed work as required.
  • Position not eligible for hybrid work.

Job description

Program Assistant provides administrative services to Office of Housing Stability programs, projects and operations. The Program Assistant will be located at 26 Court Street.

Responsibilities
  • Provides appropriate information to clients and others via phone, in-person, by email, at workshops, and through one-on-one counselling and any other program marketing or outreach efforts with the highest level of customer service possible.
  • Provides administrative support to staff related to programs, contracts and/or projects.
  • Performs data entry and maintenance of electronic and hard files.
  • Organizes and prepares bulk mailings, advertisements, email blasts and assists with other outreach efforts.
  • Assists with the preparation and execution of Requests for Proposals, service orders, contracts, invoices and payments.
  • Prepares and tracks enrolment and commitment forms through Administration and Finance.
  • Tracks and reports on program budgets, production and performance metrics.
  • Conducts research and prepares reports and presentations as requested.
  • Coordinates with other units or divisions to ensure telephone coverage and/or help with various program efforts.
  • Provides support/assistance to other units or divisions as assigned.
  • Performs related work as required.
  • Due to the operational needs of the office, this position is not eligible for hybrid work.
Minimum Entrance Qualifications
  • At least two (2) years of full-time, or equivalent part-time, administrative experience. Appropriate educational substitutions may be made.
  • Demonstrated communication, interpersonal, organization and follow-up skills.
  • Ability to attend to detail and initiate special projects of moderate complexity with minimum supervision
  • Experience in public administration, housing, program management or real estate preferred.
  • Proficiency with computer-based office software, such as MS Office (Word and Excel), Salesforce, Google Suite and working knowledge of desktop, mobile, and web-based platforms preferred.
  • Ability to exercise good judgment and focus on detail as required by the job.
