Job summary

CAREERS IN NONPROFITS is seeking an entry-level Program Assistant to support a Youth Services Organization in Manhattan, NY. This on-site, part-time, temporary role offers a 20-hour week schedule and a chance to grow into a permanent position while helping youth navigate challenging circumstances.

The ideal candidate will be patient, tech-savvy, and comfortable working with diverse populations, including youth involved in the legal system.

Qualifications

  • Experience in administrative, office, nonprofit, school, or youth-serving roles preferred.
  • Strong customer service and interpersonal skills with experience working directly with people.
  • Comfortable working with youth, including individuals involved in youth justice or legal systems.
  • Tech-savvy and proficient with Microsoft Office and/or Google Workspace; comfortable using Zoom.
  • Experience with payroll processes and basic financial tasks is a plus.

Responsibilities

  • Greet and assist youth, staff, visitors, and guests while providing a welcoming first point of contact.
  • Help maintain a safe, organized, and professional environment for program participants and staff.
  • Monitor common areas and help ensure youth understand and follow organizational guidelines.
  • Answer and direct incoming calls and respond to routine questions.
  • Open and close the office and complete daily operational tasks.
  • Support program staff with participant records, forms, documentation, and other administrative needs.
  • Facilitate the weekly payroll process for participant stipends by collecting, reviewing, and submitting required information.
  • Manage office and classroom spaces, including scheduling, setup, organization, and breakdown.
  • Monitor office supplies, maintain inventory, and place orders as needed.
  • Schedule meetings, set up Zoom calls, prepare materials, and coordinate meeting logistics.
  • Maintain electronic and physical files, records, and databases.
  • Assist with data entry and ensure information is accurate and up to date.
  • Submit expense reports and assist with routine administrative and financial tasks.
  • Coordinate with vendors, building management, and service providers.
  • Support staff meetings, events, and special projects.

ORGANIZATION TYPE: Youth Services Organization

LOCATION: Lower Manhattan

POSITION TITLE: Program Assistant

SCHEDULE: 20 hours/week, Mon – Fri In-person (can potentially extend to full time) (between the hours of 11am – 7pm)

DURATION: Temporary (potential for permanent)

HOURLY RATE: $20.00 – $25.00

Our Ideal Candidate:

  • Previous administrative, office, nonprofit, school, or youth-serving experience preferred
  • Strong customer service and interpersonal skills with experience working directly with people
  • Comfortable working with youth, including individuals involved in the youth justice or legal system
  • Tech-savvy and comfortable learning new technology and organizational systems
  • Proficient with Microsoft Office and/or Google Workspace
  • Comfortable using Zoom and setting up virtual meetings
  • Comfortable using a company credit card and submitting expense reports
  • Experience working with disadvantaged or underserved populations is a plus
  • Experience with Salesforce, QuickBooks, Concur, ADP, or similar systems is a plus
