IES is seeking a Project Manager Assistant in Mesa, AZ to handle project administration, financial document control and reporting. The role requires at least three years in a related administrative field, proficiency with MS Office, and the ability to travel 1–3 day trips quarterly as needed.

Qualifications

  • Must have a High School diploma or GED equivalency.
  • Minimum three (3) years working experience in related field.
  • Two (2) years in a telecommunications or construction administrative position.
  • Proficient with Microsoft Office (Word, Excel and MS Project).
  • Ability to travel within branch or regional territory as needed.
  • Ability to manage multiple tasks/projects simultaneously.

Responsibilities

  • Perform word processing, filing, timekeeping, records management, correspondence and billing documents processing.
  • Self-manage assigned workload distribution and monitor project administrative progress.
  • Coordinate project financial documents, billing and invoicing per company policies.
  • Interact with customer representatives and act as project administrator.
  • Create, implement and revise project process improvements; manage calendars and travel arrangements.
  • Assist program accounting with cost spot checks across multiple project sites and review expenses.
  • Prepare daily purchasing reports and verify purchase orders for accuracy.
  • Maintain and update program dashboards and KPI reports for client delivery.
