Job description

Seattle Central College is looking to hire a Program Coordinator in the Facilities Department.

Salary Range for this position is $43,812.00 to $56,916 annually (depending on experience).

Opportunity is open until filled, first review of materials will begin June 2nd, 2025.

Position Summary

Under the supervision of the Facilities Program Manager, the Program Coordinator is responsible for responding to work orders and communicate with Engineering and Custodial Services staff, and a wide range of individuals from all departments of the college.

This position is typically scheduled to work Monday through Friday 8:00AM to 5:00PM. The schedule may vary depending on program needs. May be required to work evenings and weekends as needed.

This position may supervise Work Study employees.

This position is governed by a collective bargaining agreement with representation by WFSE.

What you will be working on:

Essential Functions:

  • Provide friendly and welcoming customer service to all faculty, vendors, students and staff visiting Facilities department.
  • Answer calls from campus community regarding urgent issues on campus and dispatch requests to the appropriate Engineer or Custodian.
  • Answer calls and e-mails regarding a status of previously placed requests for repairs or service.
  • Use Computerized Maintenance Management System (CMMS) to create work orders and run reports.
  • Serve as a backup person for Directline Megamations database reporting system.
  • Coordinate with vendors on repair work and furniture delivery.
  • Monitor credit cards records; reconcile expenditure and credit card data. Ensure that all credit card purchases are made in accordance with state policy and appropriate documentation of purchases are received.
  • Order, maintain and organize departmental supplies and equipment.
  • Establish and maintain records and files, record statistical information.
  • Use spreadsheet and data base software to develop and maintain records.
  • Monitor a budget status in line with program activities.
  • Assist with the preparation of grants and grants proposals.
  • Prepare and process travel documents, invoice vouchers and interdepartmental charges (IDC).
  • Schedule appointments and meetings; take meetings minutes.
  • Confer regularly with representatives of off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies.
  • Monitor program activities in relation to established program goals; within established program parameters, determine variance from program standards.
  • Use word processing, graphics, statistical, spreadsheet and/or data base software.
  • Perform complex scheduling including independently prioritizing needs of the program.
  • Direct the work of work-study and part time employees.

  • High school graduation or equivalent and two years of full-time office work experience.
  • Familiar with Generally Accepted Accounting Principles.
  • Advance skills in Microsoft Suite applications (Excel, Word, Access and Visio)
  • Professional MS word processing and Excel spreadsheet skills
  • Experience and proficiency with data entry, including ability to verify data, check for errors, and correct as necessary
  • Ability to work independently and as part of a team
  • Must be well organized, accurate and detail-oriented.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong customer skills. Strong time management skills with excellent follow-through.
  • Demonstrate ability to work in a multi-cultural environment.
  • Ability to troubleshot, multi-task, and proactively problem solve.
  • Ability to work effectively with populations representing diverse backgrounds, life experiences and abilities.
