Wabanaki Public Health & Wellness (WPHW) is growing, and we are excited to be adding new people to our team! WPHW is a non-profit organization that serves four federally recognized tribes located in five communities: the Houlton Band of Maliseet Indians, the Aroostook Band of Mi'kmaq, the Passamaquoddy Tribe at Indian Township, the Passamaquoddy Tribe at Pleasant Point, and the Penobscot Nation. Wabanaki traditions, language, and culture guide our approach and describe the ways we live in harmony with each other and the land we collectively share. Services are available to community members living on and off-reservation across the State of Maine.

Position Summary:

The Facility Coordinator will be the first contact for visitors and materials entering our Wabanaki Public Health and Wellness (WHPW) buildings. These needs include ensuring all materials are checked in and put in inventory. This position will manage the front of our Main Office at 16 Central and will receive and guide guests to their appropriate connections. This position will work closely with the Director to ensure the Facilities Team keeps communications and schedules harmonized.

This is a full-time (40 hours per week) position. The anticipated work schedule will be Monday through Friday as needed and adjusted to fit schedules. Flex schedules may be anticipated, as well as emergency response after hours.

Duties and Responsibilities:

  1. Welcome and receive guests, visitors, and vendors.
  2. Receive all packages and inventory to correct departments.
  3. Perform Building and Safety Inspections as required.
  4. Maintain physical space, ensuring a safe, clean, and functional environment.
  5. Monitor the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, bathrooms, and kitchens.
  6. Perform routine maintenance on facilities, facilitating repairs as needed.
  7. Manage inventory and keep a database of all assets and supplies.
  8. Prepare facilities and equipment for changing weather conditions.
  9. Collaborate with upper management on budgeting for department needs.
  10. Receive, manage, and process work order requests; ensure problems are resolved quickly.
  11. Maintain a recordkeeping system documenting facility use, maintenance schedules, and any other information required by internal policy or by local, state, and federal agencies.
  12. Maintain an ongoing dialogue and working relationship with staff from other departments to ensure facilities needs and problems are quickly communicated, identified, and resolved.
  13. Assist with preparation of the yearly facilities management budget and special budgets.
  14. Perform other duties as assigned.

Education and Experience Required:

  • Experience working with Indigenous populations and in Tribal Communities is preferred but not a requirement.
  • Be independently motivated and able to carry out work activities individually and as a part of a team.
  • Effective communication skills, including computer operation.
  • Able to work in a fast-paced and changing environment.
  • This position requires a driver’s license and reliable transportation, as well as a clean driving record and the ability to be covered under WPHW's insurance.
  • Travel required: visits to all of our properties.
  • Must pass criminal background check.
