About the Role
We are seeking a highly organized, personable, and data-savvy Program Coordinator to lead our university partnerships, internship recruitment, and candidate experience initiatives. This role is both relationship-driven and analytical: you'll be the primary point of contact for our university and industry partners, the person conducting candidate interviews, and the one turning program data into insights that shape our strategy.
As Program Coordinator, you'll work closely with the Program Manager to grow our partner network, recruit and support a strong intern cohort, and keep every stakeholder — from university career centers to current interns — informed and engaged.
Key Responsibilities
University & Partner Liaison
- Serve as the primary point of contact and relationship manager for university career centers, faculty partners, professional organizations, and employer partners.
- Build and maintain a network of university relationships to support ongoing recruitment and program visibility, using platforms like Handshake, LinkedIn, and social media.
- Represent Future Planner Careers at university career fairs, info sessions, and partner meetings.
Candidate Recruitment & Interviewing
- Lead the full candidate lifecycle: sourcing, screening, and conducting interviews for prospective interns and program participants.
- Take thorough, consistent interview notes and provide structured feedback to support fair, high-quality selection decisions.
- Ensure a positive, professional candidate experience from first contact through onboarding.
Data Analysis & Reporting
- Maintain accurate, up-to-date records of participants, partners, and engagement activity in our CRM.
- Analyze program data (recruitment funnel, engagement metrics, event attendance, retention) to identify trends and opportunities.
- Prepare and present regular reports to the Program Manager to inform outreach and program strategy.
Intern & Participant Relationship Management
- Serve as the main point of contact for current interns throughout their program, checking in regularly and addressing questions or concerns.
- Track intern progress, milestones, and feedback, and help troubleshoot issues as they arise.
- Support intern offboarding and alumni relationship-building to strengthen the long-term community.
Communications
- Draft and send regular email communications to prospective candidates, partners, and current interns (announcements, reminders, follow-ups, newsletters).
- Maintain a consistent, professional, and friendly tone across all outreach.
Event Coordination
- Coordinate logistics and execution of in-person and virtual events, including firm tours, webinars, and workshops.
- Collaborate with marketing and outreach teams to promote events and drive attendance.
Resource Development
- Design and maintain training materials and resources for program participants.
Qualifications & Skills
- Prior experience in program coordination, university recruiting, talent acquisition, or educational administration preferred.
- Demonstrated experience conducting interviews and evaluating candidates.
- Comfort working with data: entering, organizing, and analyzing information to draw conclusions and report findings.
- Familiarity with recruitment/networking platforms (Handshake, LinkedIn) and CRM or project management software.
- Excellent written and verbal communication skills — able to represent the organization professionally with partners, candidates, and interns alike.
- Experience with Microsoft Suite, Google Suite, and tools such as Zoom, Teams, Canva, or Notion.
- Highly organized, self-directed, and comfortable managing multiple relationships and projects simultaneously.
