Program Assistant

Schedule: Monday-Friday 9am-5pm
Rate: 16.50

Job Description:

  • Complete purchase orders and check requests, ensure the proper supporting documentation is included, get it signed by the appropriate person, then send/transport to finance from both sites. Then log all POs and check requests on spreadsheet.
  • Complete transmittal for rent weekly and transport to finance.
  • Ensure the offices are stocked by ordering through our Staples account.
  • Take meeting minutes during the staff meetings for both sites, then e-mail them to the team.
  • Assist staff with ordering through finance (example: Amazon orders)
  • Assist with ordering furniture from our vendor.
  • Ensure that the printers have ink and paper. (Cannon)
  • Creating monthly schedules for each site
  • Picking up mail from Union St Middletown location when needed
  • Ordering business cards for new staff
  • Taking attendance during trainings

Qualifications: The ideal candidate will possess:
-Excellent oral and written communications skills
-Experience with Microsoft suite
-Office knowledge with general clerical duties such as answering a telephone exchange, filing, faxing, and photocopying
-Some college experience or continuing education or certification a plus
-Bilingual English and Spanish speaking a plus
