Responsibilities

  • Collaborate with teams to ensure applications and project deliverables are organized.
  • Facilitate communication and updates throughout the application process.
  • Dispatch follow-up emails regarding program information and deadlines.
  • Draft initial social media posts; finalization by team leads.
  • Assist with reimbursement processing.
  • Create event entries in the Hub Portal and QuickBooks.
  • Maintain records of participant and team statuses.
  • Distribute surveys prior to workshops.
  • Update historical records of team outcomes and milestones.
  • Monitor attendance at pre-help sessions and assist outreach.
  • Manage manual data entry and maintain data integrity.
  • Generate visual content for social media channels.
  • Oversee contact database management in Mailchimp.

Our client, a federally funded organization with a significant footprint despite a small team, is seeking a dedicated Program Assistant to support diverse initiatives within their innovative unit. This role offers a flexible hybrid schedule, combining remote and in-office work, with a commitment of approximately 30 hours per week. You’ll play a vital part in managing applications, coordinating outreach efforts, maintaining data accuracy, and supporting operational activities, all while contributing to meaningful programs that foster growth and advancement. Compensation

$28.00/hr

Responsibilities

  • Collaborate with teams to ensure all applications and project deliverables are uploaded and systematically organized in designated folders.
  • Facilitate communication by prompting teams for updates and revisions throughout the application process.
  • Dispatch follow-up emails regarding program information and upcoming deadlines shortly after workshops conclude.
  • Draft initial posts for social media content, with finalization handled by team leads.
  • Assist with reimbursement processing for team members and partners, ensuring accuracy and timeliness.
  • Create event entries in the Hub Portal once programming details are finalized and input into QuickBooks.
  • Maintain current records of participant and team statuses, including attendance, cancellations, and other updates.
  • Distribute surveys prior to workshops to gather participant feedback and track engagement metrics.
  • Update and preserve historical records related to team outcomes and project milestones.
  • Monitor attendance at pre-help sessions, coordinate logistics, and support outreach efforts for engagement.
  • Manage manual data entry across platforms, correcting discrepancies and maintaining data integrity.
  • Generate visual content for social media channels to boost program visibility and engagement.
  • Oversee contact database management, including segmentation and tagging within Mailchimp.

Requirements

  • Strong organizational skills with meticulous attention to detail.
  • Excellent communication abilities, both written and verbal.
  • Proficiency in data management tools, especially QuickBooks and Mailchimp.
  • Ability to work independently and collaboratively in a hybrid environment.
  • Prior experience supporting program administration or project coordination is preferred.
  • Educational background: Bachelor’s degree is required.
  • Flexibility to adapt to varied tasks and respond proactively to project needs.
