Responsibilities

  • Coordinate all aspects of performer/presenter hospitality including catering, travel and on-site accommodations.
  • Assist in contract management and execution.
  • Coordinate contract process with the Business Manager.
  • Enter and maintain event scheduling in EMS and calendars.
  • Oversee events as directed by Production and Technical Managers.
  • Advance housing, transportation, and catering needs for performances and events.
  • Arrange local travel and lodging as contracted.
  • Research hotel and transportation services and make recommendations to the Director of Cultural Affairs and Community Engagement.
  • Schedule in-house event runners and book rental cars or car services as needed.
  • Maintain Green Room hospitality stock and health code standards.
  • Support VIP events and donor engagements as needed.

Job description

Coordinate all aspects of performer/presenter hospitality including but not limited to catering, travel and on-sight accommodations for Cultural Affairs Department presentations and events. Ensure performers and crew have what is necessary to be comfortable or is required by contract as part of their engagement with Macomb Community College. Assist in all areas of contract management and execution.

  • Assist the Production and Technical Managers with contracting requirements including professional, community partner and rental clients
  • Coordinate contract process with the Business Manager
  • Enter and maintain MCPA event scheduling and needs in EMS and departmental calendars
  • Oversee events as directed by Production and Technical Managers
  • Advance housing and transportation needs with artist management or directly with artists/presenters
  • Arrange local travel and lodging as contracted
  • Coordinate in-kind trade and usage with the Marketing and Sales Manager
  • Research hotel and transportation services and make recommendations to the Director of Cultural Affairs and Community Engagement
  • Schedule in-house event runners and book rental cars or car services as needed to fulfill travel requirements
  • Advance and schedule catering and meal needs for performances and events
  • Prepare performer/presenter itineraries as needed or requested
  • Maintain and order stock for Green Room hospitality
  • Work with Macomb Center designated staff to keep Green Room and food storage areas maintained within health code standards
  • Work with Cultural Affairs designated staff to set up, monitor and strike the Green Room, dressing rooms and Founders Room as needed
  • Work with Patron Services and Volunteer Coordinator to schedule volunteer staff to support the Green Room as needed
  • Coordinate with Marketing Manager and Operations Coordinator on needs for VIP events. These include donor events and artist meet and greets
  • Assist with other backstage needs and duties as assigned
  • Other duties as appropriate

High School Diploma.Prior hospitality or food service experience preferred.
