REPORTS TO: Executive Director
OBJECTIVE:
Manage ACES' professional development initiatives and education programming, including both in-person and virtual conferences, trainings, webinars, and speaker management. Ensure all educational programming furthers ACES’ mission, supports members’ needs, and upholds the organization’s commitment to professional excellence.
PROFESSIONAL DEVELOPMENT RESPONSIBILITIES:
- Coordinate and oversee ACES’ full portfolio of education programs, including monthly webcasts, workshops, bootcamps, Spotlight Series, virtual conference, in-person conference, the ACES Academy (learning management system), and all in-person trainings.
- Manage the education portion of the national in-person and virtual conferences, including call for speakers, session selection, speaker coordination, and scheduling.
- Manage speaker contracts and logistics for all professional development events.
- Oversee and track food and beverage (F&B) needs for all education-related events.
- Monitor industry trends to ensure training content is relevant and responsive.
- Collaborate with the ACES marketing team to promote educational offerings.
- Ensure proper documentation, session evaluations, feedback, and continuous improvements for all programs.
- Manage ACES certificate program in conjunction with Poynter
EVENT AND CONFERENCE MANAGEMENT RESPONSIBILITIES:
- Manage the logistics for all educational sessions at ACES’ in-person and virtual conferences.
- Coordinate all aspects of speaker management, including onboarding, A/V needs, honoraria, and reimbursements.
- Ensure smooth delivery of education content, including pre-event preparations, onsite support (virtual or in-person), signage, badge printing, and F&B arrangements.
- Manage event budgets for education and training events.
- Serve as main point of contact for speakers and trainers during event execution.
- Oversee logistical coordination with hotels, virtual platforms, vendors, and internal stakeholders.
- Process contracts, RFPs, and service agreements related to education programming and events.
- Reconcile post-event expenditures and closeout processes, including analyzing survey data and evaluation metrics.
- Support and occasionally lead additional event logistics assigned by the Executive Director.
ADDITIONAL RESPONSIBILITIES:
- Provide regular reports and updates on professional development activities.
- Maintain detailed tracking spreadsheets for speakers, sessions, attendance, and feedback.
- Coordinate with committees and volunteers as needed to enhance education offerings.
- Attend team meetings and contribute to organizational planning and strategic initiatives.
- Other duties as assigned.

QUALIFICATIONS:
- Bachelor’s degree or equivalent work experience.
- 3+ years of professional experience in event coordination, education management, training program administration, or a related field.
- Experience managing both virtual and in-person educational events.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Excellent interpersonal communication skills and comfort in liaising with speakers, vendors, staff, and volunteers.
- Familiarity with learning management systems (LMS), virtual event platforms, and project management tools.
- Prior association or nonprofit experience is a plus.
