Job summary

Santa Maria Hostel seeks a Purchasing & Inventory Coordinator to streamline procurement and inventory control within the Facilities department.

The role develops and maintains an effective inventory system, manages the RFP process, and ensures timely purchasing with proper documentation. It also supports compliance with grants and funding requirements while coordinating with multiple departments.

Qualifications

• High school diploma or equivalent.
• Two or more years of experience in purchasing, procurement, inventory management, RFP coordination, project/process coordination, warehouse operations, or related administrative role.
• Strong organizational skills and attention to detail.
• Strong written and verbal communication skills.
• Ability to manage multiple requests and priorities.
• Comfortable with spreadsheets and procurement documentation.

Responsibilities

• Coordinate routine purchasing of organizational supplies, equipment, materials, and services.
• Receive and process approved purchase requests and obtain pricing and quotes.
• Prepare purchase orders and maintain purchasing records with vendors.
• Support RFP/RFQ processes and maintain an organization-wide procurement calendar.
• Develop and maintain standardized documents for procurement and RFP activities.
• Maintain an inventory tracking system and standardize receiving, labeling, storing, and issuing items.
• Monitor inventory levels, reconcile discrepancies, and report to leadership.
• Map and improve purchasing, inventory, and procurement processes for efficiency.
• Collaborate with departments to ensure timely, compliant purchasing and documentation.
