About the Job

Principal Office and Administrative Specialist

Position Information

  • Work Hours: Hourly position - flexible Monday-Thursday, 8am to 1pm; Saturday 7:30am to 3:30 pm
  • Work Days: M, W, F, and most Saturdays (depending on event scheduling)
  • Total Hours: 20 hours/week
  • Full/Part-time: 50%-time
  • Starting Hourly Rate: $21.69

The person in this position will serve as the UROC receptionist and provide clerical support to the UROC executive director and leadership team. The role includes greeting visitors, managing schedules, processing documents, and supervising interns and support staff. The position is union-represented (AFSCME Unit 6) with a starting hourly rate of $21.69.

Job Duties
  1. Receptionist (30%): Greet visitors and callers, provide information, help visitors find resources, schedule maintenance, order supplies, monitor security cameras.
  2. Document Processing (30%): Organize room requests, confirm dates, complete agreements, send invoices, maintain usage statistics.
  3. Calendar/Scheduling (20%): Schedule meetings and events, coordinate logistics, maintain electronic calendars.
  4. Clerical Support (10%): Assist with workshops, maintain databases, prepare agendas, handle correspondence, process invoices.
  5. Files (5%): Maintain filing systems, evaluate and modify as needed.
  6. Supervise Interns and Support Staff (5%): Organize assignments, manage timesheets, oversee work quality.
Qualifications

Required: High school diploma/GED, at least 2 years of office experience, drafting correspondence, managing schedules, dealing professionally with the public. Experience with keyboarding, data entry, and electronic calendars.

Preferred: Experience with community organizations or higher education, urban community work, multi-project office environment, creating spreadsheets/databases, working with diverse communities, strong organizational and communication skills, bilingual abilities, teamwork, and supporting committees.
