Job summary

Nox Group is seeking a detail‑oriented Preconstruction Coordinator to organize documentation, support bid and pursuit efforts, and ensure smooth coordination across internal teams and external partners. This role is essential for keeping RMCI's Preconstruction and Estimating activities progressing efficiently.

You will manage NDAs, MSAs/MPAs, TradeTapp requests, and CRM updates, while coordinating with Marketing and cross-functional teams to strengthen proposal delivery and client engagement.

Qualifications

• Experience in administrative roles in the construction industry.
• Strong organizational skills with the ability to manage multiple deadlines.
• Proficiency with Microsoft Office Suite; familiarity with Bluebeam, Building Connected, and CRM platforms preferred.
• Strong written and verbal communication skills.
• High attention to detail and commitment to accuracy.
• Ability to collaborate effectively with cross-functional teams.
• Professionalism in handling confidential documents such as NDAs, MSAs, and MPAs.
• Safety sensitive position requiring drug test and background check.

Responsibilities

• Handle TradeTapp requests and route to internal teams.
• Track active MSAs/MPAs.
• Manage and archive NDAs.
• Serve as DocuSign admin for preconstruction and contracts.
• Document preconstruction and estimating meetings.
• Track cross-functional ARs and coordinate needs.
• Work with Marketing on proposals and interview presentations.
• Bid Document Coordination: Organize all project files.
• Bookmarking & Labeling: Mark contract documents clearly.
• Slip Sheeting: Insert sketches, RFIs, and amendments into contract documents.
• Building Connected: Create consistent file structures for solicitation.
• Update and manage CRM leads, opportunities, and pursuits.
• Direct inquiries from prospective subcontractors, vendors, or clients to the relevant team members.
• Arrange meet-and-greets with potential clients.
• Track relevant external events.
• Coordinate with both the Preconstruction and Estimating teams to keep documentation, scheduling, and pursuit support running smoothly across both functions.
• Support the Director of Preconstruction with organized documentation, coordination updates, and pursuit tracking.
