Job summary

Qualifications

• Three years of hotel event management experience.
• Bachelor’s degree in hospitality, event management, or related field preferred.
• Proficiency with Delphi or similar event management software; knowledge of Opera and Social Tables is a plus.
• Strong organizational and interpersonal skills; ability to manage multiple events and priorities under pressure.

Responsibilities

• Manage assigned events from contract turnover through execution; serve as the primary planning contact for clients.
• Coordinate agendas, menus, room setups, floor plans, timelines, vendors and special requests; lead planning meetings, tastings and walkthroughs.
• Coordinate room blocks and guest requests with Group Sales and Reservations.
• Identify needs early and work with clients and hotel teams to resolve concerns.
• Prepare and maintain BEOs, group resumes, diagrams, and planning notes in Delphi or designated system.
• Coordinate requirements with Culinary, Banquets, Beverage, AV, Engineering and other departments; present events at BEO meetings and lead post-event reviews.
• Confirm event readiness and oversee timelines, setups, staffing and service delivery; address concerns and uphold service standards.
• Track guarantees, deposits and payments; share updates with relevant teams and review final charges for accuracy.
• Identify approved enhancements and communicate client requests to departments.
• Help establish pre-opening planning procedures, BEO standards, setup guidelines, vendor processes and local vendor relationships.
• Support onboarding and training, site inspections, hard hat tours and client meetings.
