Mass General Brigham is seeking a full-time Surgical Scheduler for Cooley Dickinson Plastic Surgery in downtown Florence, MA. The role involves coordinating complex surgical cases from consultation through postoperative follow-up, working closely with surgeons, physicians assistants, patients, and insurance providers to ensure timely and accurate support.

Qualifications

• High School Diploma or equivalent required.
• Customer service experience, including contact or call center experience, required.
• Medical office or health care setting experience preferred.
• Epic experience preferred.
• Strong communication, interpersonal, and teamwork skills.
• Ability to manage sensitive and confidential information with sound judgment.
• Comfort using Microsoft Outlook, Excel, data entry tools, and electronic scheduling systems.
• Ability to work accurately while handling a high volume of calls, requests, and scheduling details.

Responsibilities

• Schedule surgical procedures and coordinate related pre- and post-operative appointments.
• Obtain insurance authorizations and collect necessary medical records, referrals, and supporting documentation.
• Support self-pay cosmetic cases and help ensure clear communication around scheduling requirements.
• Receive incoming communication and online requests from patients and referring providers seeking access to care.
• Complete patient registration and scheduling processes accurately and in accordance with department procedures.
• Answer calls, triage requests, take detailed messages, and provide professional, courteous service.
• Maintain accurate documentation across systems while protecting patient confidentiality and privacy consistent with HIPAA guidelines.
