The People Operations Coordinator provides coordination across talent acquisition support while also overseeing day-to-day office operations. This onsite role in Maryland Heights, MO partners with recruiting teams, hiring managers, employees, candidates, visitors, and vendors to help maintain an organized, welcoming, and compliant experience.
Key Responsibilities
- Coordinate interview scheduling across candidates, hiring managers, recruiters, and interview teams.
- Manage candidate communications throughout the recruiting lifecycle.
- Maintain accurate candidate records and job requisitions within the Applicant Tracking System (ATS).
- Support job posting administration on internal and external recruiting platforms.
- Coordinate background checks, pre-employment screenings, and onboarding documentation.
- Prepare offer letters and support new hire onboarding processes.
- Schedule orientations and coordinate first-day logistics for new employees.
- Track recruiting activities and support data accuracy, compliance, and process integrity.
- Prepare interview materials and coordinate collection of interview feedback from hiring teams.
- Serve as the primary point of contact for visitors, vendors, guests, and incoming calls.
- Maintain a professional, organized, and welcoming office environment.
- Manage office supplies, equipment maintenance, and vendor relationships.
- Coordinate incoming and outgoing mail, shipments, and deliveries.
- Assist with company events, employee recognition programs, and engagement activities.
- Maintain office records, files, bulletin boards, and employee communications.
- Support facility-related requests and administrative projects across the organization.
- Coordinate new hire equipment requests, badge access, and workspace preparation.
- Maintain onboarding and personnel records in alignment with company policies.
- Support HR initiatives, audits, reporting, and special projects.
- Assist employees and managers with onboarding-related questions and administrative needs.
- Support recruiting events, career fairs, hiring events, and community outreach initiatives.
Required Qualifications
- High school diploma or equivalent.
- 1+ year of experience in office administration, recruiting coordination, human resources support, or a related field.
- Strong organizational skills to manage multiple priorities and deadlines.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong attention to detail and commitment to accuracy.
- Professional customer-service mindset with outstanding interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Demonstrated integrity, dependability, and a strong sense of urgency.
Preferred Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration, Communications, or a related field.
- Experience supporting recruiting, talent acquisition, onboarding, or human resources functions.
- Experience working with Applicant Tracking Systems (ATS).
- Experience using HRIS platforms and electronic employee record systems.
- Experience supporting employee engagement programs, company events, or office operations.
- Familiarity with employment documentation and recruiting process administration.

- Starting at $24.00 per hour ($49,920 annualized) plus 10% annual incentive opportunity

- This is a non-exempt position and pay is subject to overtime based on hours worked
