Job summary

Mosaic Pediatric Therapy in Matthews, NC is seeking an Administrative Operations Manager to lead clinic operations. The AOM will manage scheduling, staff utilization, patient onboarding and policy enforcement to meet performance targets, with focus on patient care and administrative efficiency.

Role reports to Clinical Director and VP of Clinical Operations; requires a Bachelor's in a related field and at least 1 year in operations. Competitive benefits and a Monday–Friday schedule are offered.

Qualifications

• Bachelor’s degree in Business Administration/Management, Healthcare Management, Information Systems, Project Management, Accounting, Finance, Operations Research, Statistics, or Industrial Engineering or equivalent combination of education and work experience.
• A minimum of one year of experience in operations or business management role (health care experience preferred but not required).
• Strong working knowledge of Microsoft Excel / Google Sheets.

Responsibilities

• Monitoring and reporting on key performance indicators to the Clinical Director, VP of Clinical Operations and Mosaic’s CEO.
• Developing and maintaining the client/therapist master schedule to maximize clinic and therapist utilization.
• Modifying and changing daily schedules to accommodate client and therapist absences; notify staff and parents.
• Reviewing and approving therapist requests for time off per guidelines and policies.
• Facilitating client sign-in/sign-outs and documenting late arrivals/pickups.
• Ensuring timely submission of appointment documentation to support revenue cycle targets.
• Building relationships with patients and families and addressing non-clinical concerns.
• Manage clinic supplies inventory and replenishment schedule.
• Maintain relationship with landlord and subcontractors for repairs and maintenance.
• Prepare for arrival of and train new hires on administrative functions and policies.
