Job summary

Addison Group is partnering with an established organization in Saint Paul to hire a Payroll Specialist who will manage accurate and timely payroll processing across multiple entities, along with payroll administration, reconciliations, reporting, and compliance activities.

The ideal candidate has hands-on payroll experience, preferably multi-state or multi-entity, with a strong emphasis on accuracy, confidentiality, and staying current with payroll regulations.

Qualifications

• 3+ years of hands-on payroll experience
• Experience processing multi-state and/or multi-entity payroll preferred
• Strong understanding of payroll processing, payroll maintenance, and payroll reconciliations
• Experience with payroll tax requirements and garnishments preferred
• Workday or ADP Vantage experience is highly preferred
• Experience with NetSuite or another ERP/accounting system is a plus
• Strong Microsoft Excel and computer skills
• Bachelor’s degree in Accounting, Finance, or a related field preferred but not required
• CPP certification is preferred but not required
• Strong attention to detail and organizational skills
• Ability to manage sensitive and confidential employee information
• Strong analytical and problem-solving skills
• Ability to meet recurring deadlines while maintaining a high level of accuracy
• Interest in staying current with payroll regulations, processes, and best practices

Responsibilities

• Process bi-weekly payroll for multiple entities, ensuring accuracy and adherence to established payroll deadlines
• Enter, process, and review payroll changes including new hires, terminations, merit increases, retroactive adjustments, commissions, bonuses, benefits changes, direct deposit updates, and W-4 changes
• Complete bi-weekly payroll reconciliations and prepare related journal entries
• Review and process employee reimbursements within the payroll system
• Review and reconcile federal, state, and local payroll tax payments and support quarterly and annual tax filings
• Prepare and distribute standard and ad hoc payroll reports
• Research and resolve payroll discrepancies and employee payroll questions
• Support payroll audits and other compliance-related audits as needed
• Maintain accurate payroll records and ensure payroll information is handled with a high degree of confidentiality
• Assist with payroll-related reporting and documentation
• Support cash application and bank reconciliation activities as needed
• Research and resolve discrepancies related to payroll and cash transactions
• Assist with other accounting and financial functions as needed
