Job summary

Addison Group is seeking a Payroll Specialist in St. Paul, MN to manage accurate and timely payroll processing across multiple entities. The role focuses on payroll administration, reconciliations, reporting, and compliance.

The ideal candidate has hands-on payroll experience in a multi-state environment, with strong attention to detail and confidentiality. CPP is preferred but not required; Workday or ADP Vantage experience is highly valued. This is a great team-focused opportunity.

Qualifications

• 3+ years of hands-on payroll experience.
• Experience with multi-state or multi-entity payroll.
• Proficient in payroll tax requirements and garnishments.
• Workday or ADP Vantage experience preferred.
• ERP experience such as NetSuite a plus.

Responsibilities

• Process bi-weekly payroll for multiple entities, ensuring accuracy and deadlines.
• Enter, process, and review payroll changes (hires, terminations, merit increases, retroactive adjustments, bonuses, benefits changes, direct deposit updates, W-4 changes).
• Complete bi-weekly payroll reconciliations and prepare related journal entries.
• Review and process employee reimbursements within the payroll system.
• Reconcile federal, state, and local payroll tax payments and support filings.
• Prepare and distribute standard and ad hoc payroll reports.
• Research and resolve payroll discrepancies and employee questions.
• Support payroll audits and related compliance activities.
• Maintain confidential payroll records and documentation.
• Assist with payroll-related reporting and cash/applications as needed.
• Support other accounting/finance functions.

Position Title: Payroll Specialist

Location: St. Paul, MN

Compensation: $75,000–$80,000

Work Schedule: Monday–Friday, 40 hours per week

Addison Group is partnering with an established organization to identify a Payroll Specialist to join their team. This position is primarily focused on managing accurate and timely payroll processing while supporting payroll administration, reconciliations, reporting, and related compliance activities.

The ideal candidate will have hands-on payroll experience, preferably in a multi-state or multi-entity environment, and will be comfortable managing detailed payroll changes while maintaining a high level of accuracy and confidentiality.

Key Responsibilities:

• Process bi-weekly payroll for multiple entities, ensuring accuracy and adherence to established payroll deadlines
• Enter, process, and review payroll changes including new hires, terminations, merit increases, retroactive adjustments, commissions, bonuses, benefits changes, direct deposit updates, and W-4 changes
• Complete bi-weekly payroll reconciliations and prepare related journal entries
• Review and process employee reimbursements within the payroll system
• Review and reconcile federal, state, and local payroll tax payments and support quarterly and annual tax filings
• Prepare and distribute standard and ad hoc payroll reports
• Research and resolve payroll discrepancies and employee payroll questions
• Support payroll audits and other compliance-related audits as needed
• Maintain accurate payroll records and ensure payroll information is handled with a high degree of confidentiality
• Assist with payroll-related reporting and documentation
• Support cash application and bank reconciliation activities as neededResearch and resolve discrepancies related to payroll and cash transactions
• Assist with other accounting and financial functions as needed

Qualifications:

• 3+ years of hands-on payroll experience
• Experience processing multi-state and/or multi-entity payroll preferred
• Strong understanding of payroll processing, payroll maintenance, and payroll reconciliations
• Experience with payroll tax requirements and garnishments preferred
• Workday or ADP Vantage experience is highly preferred
• Experience with NetSuite or another ERP/accounting system is a plus
• Strong Microsoft Excel and computer skills
• Bachelor’s degree in Accounting, Finance, or a related field preferred but not required
• CPP certification is preferred but not required
• Strong attention to detail and organizational skills
• Ability to manage sensitive and confidential employee information
• Strong analytical and problem-solving skills
• Ability to meet recurring deadlines while maintaining a high level of accuracy
• Interest in staying current with payroll regulations, processes, and best practices
