The Payroll Specialist is responsible for the accurate and timely administration of multi-state payroll across varying processing schedules. This position manages payroll processing, payroll-related reporting, team member deductions, tax and compliance requirements, and the dayto-day administration of the company’s 401(k) plans.
Primary Responsibilities
- Compile, calculate, and reconcile payroll supporting information and ensure the accuracy of documentation and payroll records in preparation for approval and submission. Investigate anomalies and make required corrections to ensure the validity of payroll.
- Maintain accurate, secure payroll and 401(k) records; process new hires and team member updates; and administer 401(k) eligibility, enrollment, contributions, loans, withdrawals, rollovers, terminations, payroll feeds, reconciliations, and provider files.
- Maintain knowledge of current legal requirements and industry trends related to payroll. Contribute to continuous process improvement within the HR department.
- Safeguard all pertinent HR information in accordance with HIPAA and other federal and state privacy laws, as well as established HR and Company policies governing confidential information.
- Process accurate, timely multi-state payroll across varying schedules, including regular and off-cycle payments, bonuses, commissions, and final checks.
- Manage payroll calendars, approvals, adjustments, timekeeping, earnings, deductions, garnishments, and team member data changes.
- Ensure payroll tax and wage-and-hour compliance, filings, W-2 reporting, accurate records, and audit readiness.
- Resolve team member payroll issues confidentially and prepare reconciliations and reports for Finance, Human Resources, and auditors.
- Support payroll and 401(k) audits, annual compliance testing, Form 5500 preparation, corrective actions, and continuous process and system improvements.
- Perform other related duties as assigned.
Qualifications: Key Skills
- Highly skilled in listening, speaking, and writing skills, with proven ability to communicate clearly and effectively at all levels of the organization.
- Demonstrated depth of understanding of federal, state, and local payroll tax regulations and wage and hour requirements.
- Ability to establish a high level of trust and credibility in the organization. Demonstrates keen awareness of and care in maintaining confidentiality and discretion.
- Strong interpersonal, customer service and teamwork skills, with the ability to interface with all levels of the organization both internally and externally.
- Excellent attention to detail reflected through the accuracy of results while meeting strict deadlines.
- Results-driven problem solver who identifies and assesses issues, troubleshoots effectively, recommends solutions, improves processes, and consistently meets or exceeds goals.
- Strong proficiency in Microsoft Office software and HRIS systems required with a preference for Paycom experience. Excel proficiencies to sort, filter, reconcile, and analyze payroll data.
Education/Experience Requirements
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or other related field required.
- Three or more years of payroll experience, including experience processing multi-state payroll.
- Prior experience working with a New York employer with more than 100 team members strongly preferred.
- HRCI/SHRM, FPC, or CPP certifications highly preferred.
