Harvard Maintenance is seeking an Assistant Payroll Manager to support the Payroll Manager in supervising multi-state payroll operations with a focus on accuracy and regulatory compliance. The role involves leading payroll staff, refining processing systems, and ensuring timely payroll cycles across regions.

The ideal candidate will have 5+ years in payroll, in-house payroll experience, and strong Excel skills (VLOOKUP, pivot tables).

Qualifications

• 5+ years of experience in a similar payroll capacity.
• Experience with a large in-house payroll operation.
• Proficiency in Microsoft Office, especially Excel (VLOOKUP, pivot tables).
• Experience managing a payroll team.
• Ability to work in a fast-paced environment.
• Self-motivated with strong organizational and prioritization skills.
• Ability to multi-task with attention to detail and accuracy.
• Excellent verbal and written communication skills.
• Ability to work independently and in a team.
• Strong analytical and problem-solving abilities.
• Understanding of financial processes, systems, controls, and reporting.

Responsibilities

• Oversee payroll cycles across multiple states to ensure accuracy and timeliness.
• Supervise payroll coordinators and maintain department operations.
• Print checks and paystubs for all regions and troubleshoot issues.
• Support payroll staff with processing inquiries and questions.
• Maintain and audit payroll processing systems for accuracy.
• Prepare and maintain NACHA and Positive Pay files.
• Manage garnishment processing accurately and timely.
• Handle annual W-2 processing and employee inquiries.
• Facilitate audits and respond to auditors with required records.
