Responsibilities

  • Preparing and processing bi-weekly payroll.
  • Preparing and processing billing invoices in accordance with program requirements and funding guidelines.
  • Assisting with onboarding and offboarding updates related to payroll.
  • Entering accounts receivable invoices into the accounting software.
  • Entering cash receipts into the accounting software and matching payments to invoices.
  • Reconciling balance sheet accounts for payroll accruals on a monthly, quarterly, and/or yearly basis.

A Day in the Life as a Payroll and Fiscal Assistant :

As a Payroll and Fiscal Assistant you’ll be responsible for payroll processing, and providing administrative and technical support for billing, accounts receivable, and general accounting functions. This position plays a key role in ensuring accurate payroll administration, financial recordkeeping, regulatory compliance, and reporting requirements while maintaining strict confidentiality of employee and financial information. The Payroll and Fiscal Assistant works collaboratively with both Human Resources and Fiscal staff, as well as all agency employees and supervisors to support operations.

Your day will involve:
  • Preparing and processing bi-weekly payroll by collecting, calculating, and entering data to ensure payroll accuracy.
  • Preparing and processing billing invoices in accordance with program requirements and funding guidelines into financial systems with a high level of accuracy.
  • Assisting with onboarding and offboarding updates related to payroll, including new hires, terminations, and employment status changes.
  • Entering accounts receivable invoices into the accounting software.
  • Entering all cash receipts received into the accounting software and matching the payment up with the applicable open accounts receivable invoices.
  • Assisting in reconciling balance sheet accounts for payroll accruals on a monthly, quarterly, and/or yearly basis.

Requirements
Qualifications to Be a Payroll and Fiscal Assistant:
To excel in this role, you’ll need:
  • Education: Associate degree in Accounting, Business Administration, or a related field preferred. Equivalent combination of education, training, and relevant experience may be considered.
  • Experience: One to two years of payroll, billing, accounting, bookkeeping, or related administrative experience preferred. Experience maintaining confidential employee and financial information.
  • Skills: Experience working with computerized payroll, accounting, or HRIS systems preferred. Ability to manage multiple priorities and meeting deadlines in a fast‑paced environment.

Reliable transportation and a valid driver’s license are required, as some travel within the community may be necessary.
