Job summary

Jobtailor is seeking a dedicated Patient Services Coordinator to serve as the main liaison between internal teams and clinical sites, managing patient timelines from initiation to delivery. You will coordinate with site staff to confirm patient information and provide status updates to stakeholders.

The role requires a life sciences or health admin background, 2+ years in patient services, and comfort working in regulated environments. Experience with cell/gene therapy or biotech is a plus.

Qualifications

• Bachelor's degree in life sciences, healthcare administration, business, or related field (or equivalent experience).
• 2+ years of experience in patient services, or a related healthcare/biotech/pharma role.
• Ability to coordinate across multiple internal functions, including clinical, manufacturing, supply chain, and quality.
• Strong organizational and project management skills.
• Ability to manage multiple patient timelines simultaneously.
• Excellent written and verbal communication skills.
• Comfort interfacing with clinical site staff and internal stakeholders at varying levels.
• High attention to detail.
• Comfort working within regulated environments (GxP, HIPAA, etc.).
• Experience in cell/gene therapy, personalized medicine, or complex/time-sensitive treatment modalities is preferred.
• Familiarity with manufacturing scheduling, supply chain logistics, or quality/regulatory processes is preferred.
• Experience working directly with clinical trial sites or hospital systems is preferred.

Responsibilities

• Serve as the primary point of contact between internal teams and external clinical sites regarding patient status and journey milestones.
• Coordinate with clinical site staff to gather, confirm, and relay patient-specific information.
• Own end-to-end visibility of individual patient timelines from initiation through product delivery or administration.
• Provide regular status updates to internal stakeholders and, where appropriate, clinical sites.
• Partner with Manufacturing teams to confirm production scheduling, batch status, and manufacturing-related updates.
• Liaise with Quality teams to monitor release timelines, quality holds, deviations, and compliance issues.
• Facilitate communication across clinical, manufacturing, supplier management, and quality groups.
• Resolve conflicts or delays affecting patient timelines.
• Ensure patient journey activities comply with regulatory, quality, and company requirements.
• Support audits and inspections by maintaining accurate documentation.
• Identify process improvements in patient coordination workflows and contribute to best-practice implementation.
• Maintain confidentiality and handle patient information in compliance with HIPAA/GDPR or applicable regional privacy regulations.
