Job summary

Jobtailor is seeking a skilled professional to drive patient recruitment and retention strategies within clinical programs in Indianapolis. You will coordinate translations, IRB/ERB submissions, and vendor management while maintaining key systems for PEER to ensure high-quality, compliant materials.

The role requires cross-functional collaboration, strong project management and communication skills, and the ability to lead complex workflows across protocol approvals through distribution.

Qualifications

• Bachelor’s degree in scientific or health related field or equivalent.
• 3+ years of experience in pharmaceutical industry or equivalent.
• Understanding of the pharmaceutical drug/device development process.
• Demonstrated knowledge and experience with project management tools and processes.
• Proven ability to deliver to timelines.
• Excellent written and verbal communication skills.
• Demonstrated organizational and critical thinking skills.
• Ability to lead and influence toward a common goal.
• Minimal travel required.
• Understanding of IRB/ERB requirements and local submission needs.
• Experience coordinating translation, print, and digital campaign vendors.
• Experience with version control, documentation, quality assurance, eTMF, and SharePoint.
• Ability to coordinate complex workflows from protocol approval through translation, submissions, proofing, printing, and distribution.

Responsibilities

• Support the design strategy for patient recruitment and retention within clinical programs.
• Represent the voice of patients and researchers in clinical program design strategies.
• Coordinate end-to-end execution and quality oversight of Recruitment & Retention materials and appreciation item workflows.
• Create deliverables such as novel recruitment and patient-facing content with PEER colleagues, functional owners, and vendors.
• Maintain key platforms and systems supporting the PEER team.
• Identify best practices and standardized approaches across the PEER team and broader CDDA.
• Improve internal standards, processes, tools, and best practices.
• Assess business partner needs for process improvement, standardization, or automation.
• Provide strategic and technical support across CDDA functions.
• Plan, manage, and track workflows from protocol approval through translation, IRB/ERB submissions, proofing, printing, and distribution.
• Maintain documentation across strategy documents, trackers, dashboards, and SharePoint.
• Coordinate cross-functional stakeholders, vendors, timelines, and submission milestones.
• Review vendor quotes, summarize recommendations, and obtain stakeholder alignment.
• Conduct quality checks on translated materials, print proofs, and final print-ready files.
• Ensure correct routing and approval in eTMF and SharePoint.
• Communicate recommendations, next steps, and submission needs to stakeholders.
• Identify gaps and resolve delays involving medical reviews, proofing, translation cycles, or external dependencies.
• Support trial readiness for FPV/LPV
