Job summary

The PromptCare Companies in Lenexa, KS seeks an Intake Coordinator to handle inbound orders from referrals and patient requests across calls, fax, and email. You will learn our enterprise system to process new orders and re-orders for patients, ensuring accuracy and timely communication.

This full-time, hybrid role requires attention to detail, teamwork with sales and care teams, and a customer-focused approach in a dynamic healthcare environment.

Qualifications

• College education preferred, but relevant experience may substitute.
• Strong PC skills, especially the MS Office suite.
• Experience with Brightree or CPR+ is a major advantage (training provided).
• Experience with patient admissions and customer service in referral-source settings is strongly preferred.
• Experience with hospitals, physicians, case managers, and sales teams is preferred.

Responsibilities

• Provide clients with timely, accurate information and take corrective actions to ensure satisfaction.
• Obtain patient referral admission data and document initial information.
• Notify staff of pending referrals and patient admissions; maintain communication across departments.
• Enter new patient information into the order processing system.
• Generate a referral log daily and forward to staff.
• Perform insurance verification and obtain prior authorizations for onboarding.
• Coordinate with sales, case managers, physicians, and patients to obtain data for authorization when needed.
• Conduct cost analyses for new referrals and share with Sales and dietitian when required.
• Handle phone calls and triage problems per company standards and training policies.
• Schedule deliveries to meet patient needs and cost guidelines.
• Document referral sources or patient concerns accurately and act to resolve issues.
