Job summary

AEG Vision in Minnesota (Woodbury) is seeking a Patient Care Coordinator to manage front desk operations and support patient flow and provider scheduling. You will coordinate across care teams to ensure efficient and high-quality patient experiences.

The role requires strong communication, organizational skills, and the ability to handle multiple priorities in a fast-paced environment. On-site work with full-time benefits and competitive hourly wages is provided.

Qualifications

• High school diploma or equivalent required.
• Basic computer literacy and ability to learn EMR practice management systems.
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a patient-centered focus.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.
• Maintain patient and practice confidentiality.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner and serve as the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage emails or digital communications professionally.
• Schedule patient appointments while supporting provider schedule optimization and same-day fill opportunities.
• Execute appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and demographics; enter and maintain information in EMR.
• Explain insurance coverage and patient financial responsibilities clearly.
• Prepare patient charts and documentation ahead of visits to support workflow.
• Record charges, co-pays, and payments in EMR; monitor balances and assist with claims.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and provider schedules; adjust to optimize efficiency.
• Communicate wait times and next steps to patients to maintain satisfaction.
• Coordinate with clinical and optical teams for seamless care transitions.
• Support patient retention through recall and preventive care outreach.
• Maintain an organized, clean front office environment.
• Perform other duties as assigned by Practice Manager or Optometrist.
