Job summary

GUIDEWELL SANITAS I LLC is seeking a Patient Representative Coordinator to be the first contact for patients and visitors, ensuring a welcoming, professional experience. You will support the patient journey from pre-visit planning to check-out and post-visit follow-up, maintaining accurate records with strict confidentiality.

You will validate insurance eligibility, copayments, and scheduling details, and assist with post-visit communications while upholding privacy and regulatory standards.

Qualifications

• High School Graduate or equivalent.
• 1-3 years in customer-facing roles (hospitality, retail, call center, or healthcare front desk).
• Advanced English; bilingual Spanish or Creole preferred.
• Experience with scheduling, check-in/out, payments, or reservations.
• Comfortable handling escalations and resolving issues with professionalism.
• Any combination of education, training, and experience demonstrating ability to perform duties.

Responsibilities

• Welcome and greet patients and visitors to the Medical Center in a friendly and professional manner; determine purpose of visit and direct to the appropriate person or department.
• Review scheduled appointments to complete pre-visit planning; verify insurance eligibility in eCW; confirm and update copayment amounts and pending balances; contact patients to address eligibility issues or attendance.
• Perform check-in and check-out processes; verify appointment, scan IDs and insurance cards, print and file registration forms, update contact info and visit status.
• Confirm prescriptions, referrals, labs, and imaging orders; schedule follow-up appointments; ensure visit completion and print orders as requested.
• Maintain confidential medical records and PHI; log off systems; adhere to privacy and security regulations.
• Provide post-visit calls for service recovery and NPS surveys; support billing/payment processes; participate in team meetings.
