Job summary

AEG Vision is hiring a Patient Care Coordinator to manage front desk operations, patient flow, and coordination across care teams. You will anticipate needs, communicate clearly, and optimize daily schedules to ensure high-quality patient experiences.

Your role includes confirming appointments, verifying insurance, managing EMR entries, and supporting patient retention through follow-up and recall initiatives.

Qualifications

• High school diploma or equivalent.
• Basic computer literacy and ability to learn EMR.
• Strong organizational and multitasking abilities.

• Ability to maintain patient confidentiality in a fast-paced clinic.

Responsibilities

• Greet patients, customers, and vendors in a friendly, professional manner; primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage email/digital communications.
• Schedule patient appointments and support provider scheduling, including cancellations and reschedules.
• Execute appointment confirmations and reminders to reduce no-shows.
• Verify insurance eligibility and patient demographics; enter information in EMR.
• Maintain understanding of insurance plans and communicate coverage and patient financial responsibility.
• Prepare patient charts and documentation before visits to aid flow.
• Collect and document charges, co-pays, and payments in EMR; assist with balance allocation and claims.
• Run reports to ensure charges are billed and up to date.
• Monitor daily patient flow and adapt schedules to prevent bottlenecks.
• Communicate wait times and next steps to patients.
• Coordinate with clinical/optical teams for continuity of care.
• Support recall and reactivation outreach for annual/medically necessary visits.
• Keep front office organized and patient-ready.
• Perform other duties as needed by Practice Manager/Optometrist.
