Qualifications

• High school diploma or equivalent required.
• Strong organizational skills with attention to detail and ability to manage multiple priorities.
• Strong communication skills (verbal and written) with a focus on patient-centered service.
• Strong interpersonal skills and ability to work collaboratively across teams.
• Ability to proactively identify issues and contribute to solutions in a fast-paced environment.
• Must maintain patient and practice confidentiality.

Responsibilities

• Greet patients and be the primary contact for patient interactions.
• Answer calls, respond to inquiries, and manage email communications.
• Schedule patient appointments and optimize provider schedules.
• Execute appointment confirmation and reminder processes to reduce no-show rates.
• Verify insurance eligibility and patient demographics; enter data into EMR.
• Maintain understanding of insurance plans and communicate coverage and financial responsibility.
• Prepare patient charts and documentation for visits.
• Record charges, co-pays, and payments into EMR and assist with claims.
• Run reports to ensure charges are billed and up to date.
• Monitor patient flow and provider schedules; adjust as needed.
• Communicate wait times and next steps to patients.
• Coordinate with clinical and optical teams for smooth transitions.
• Support retention through recall and follow-up for annual/medically necessary appointments.
• Maintain organized, clean front office environment.
• Perform other duties as assigned by Practice Manager and Optometrist.
