Job summary

Guidehouse is seeking a Patient Care Coordinator to provide comprehensive administrative, operational, and patient care coordination support within NHLBI in Bethesda, MD. The role is full-time and on-site, coordinating hematology consultations and managing complex clinical schedules.

You will liaise with patients, caregivers, providers, and laboratories, handling logistics, records, and meetings, while ensuring HIPAA and NIH compliance.

Qualifications

• Bachelor’s degree or higher in a healthcare-related field.
• Minimum four years of experience in patient care coordination, clinical operations, or healthcare administration.
• Experience coordinating multidisciplinary clinical services with providers, laboratories, and ancillary services.
• Working knowledge of medical terminology.
• Proficient in Microsoft 365.
• Experience with electronic medical records.
• Ability to obtain and maintain a Federal or DoD public trust.
• Incumbent capture – no other candidates were considered due to an identified incumbent.

Responsibilities

• Coordinate hematology consultation services: review, triage, schedule, and track patient consultations and follow-ups.
• Serve as the primary liaison among patients, caregivers, providers, laboratories, and clinical teams.
• Manage appointment logistics: clinic scheduling, telehealth, interpreter services, pre-consult testing, and electronic requests.
• Coordinate external medical records, pathology materials, and testing documentation for clinical evaluations.
• Schedule and track multidisciplinary patient care meetings and provider rosters.
• Provide patients with appointment instructions and registration guidance.
• Coordinate bone marrow procedures, specimen collection, laboratory testing, and pathology reviews.
• Track diagnostic procedures and results to ensure timely completion and follow-up.
• Plan and support educational conferences, grand rounds, and training sessions; manage speaker logistics.
• Maintain educational resources and training documentation for clinical and fellowship programs.
• Oversee administrative operations including resources, supplies, equipment, and facilities services.
• Coordinate onboarding, credentialing, orientation, access requests for fellows and staff.
• Develop and maintain SOPs and workflow documentation; manage program records.
• Collect, analyze, and report operational data; support dashboards, QA initiatives, and process improvements.
• Maintain SharePoint, Teams, shared mailboxes, calendars; ensure NIH/HIPAA compliance and support IT implementations.
