Job summary

Springfield Clinic is seeking a Patient Access Specialist to serve as the welcoming first point of contact for guests and their families. You will answer calls, verify demographics and insurance, assist with check-in, and enroll patients in the FMH portal.

You will also schedule appointments, collect payments, and balance receipts with accuracy. The role emphasizes customer service excellence, collaboration with Care Team members, and adherence to HIPAA policies.

Qualifications

• High School graduate or GED preferred.
• Comfortable with technology.
• Preferred: Administrative or technical background from 2-3 years of college.
• Preferred: Minimum one year medical office experience.

Responsibilities

• Answer incoming calls, identify caller needs, route to appropriate area, and take messages.
• Assist guests with check-in, verify demographics and insurance, and update as needed.
• Assist guests and Care Team with information, direction, and hospitality.
• Assist guests in enrolling in the FollowMyHealth portal and educate on its use.
• Collect patient payments and provide receipts; reconcile receipts with cash and balancing forms per standards.
• Refer guests with questions about financial liability to appropriate resources.
• Schedule provider appointments per group procedures, analyze availability to maximize efficiency.
• Collaborate with onsite departments and Care Team to align scheduling.
• Document guest requests to the Care Team through the EHR.
• Work appropriate system reports for assigned provider group.
• Identify process issues and implement solutions to improve guest experience.
• Route emergency calls per procedures and drive First Call Resolution.
• Demonstrate and maintain service excellence at front desk or call center.
• Complete duties with welcoming spirit and efficiency, adhering to workflow.
• Remain current on departmental policies and Springfield Clinic's Code of Conduct.
• Eligible for CMAA exam within 1 year (voluntary growth opportunity).
