Responsibilities

• Schedule patient appointments for consultations, procedures, and follow-ups according to provider availability and patient needs.
• Communicate appointment details, preparation instructions, and answer patient inquiries regarding scheduling and services.
• Collect and verify patient demographic, insurance, and contact information, ensuring accuracy in the electronic health record (EHR).
• Confirm appointments with patients and providers, and reschedule or cancel appointments as requested.
• Verify insurance coverage, obtain pre-authorizations, and communicate financial responsibilities to patients as needed.
• Coordinate with clinical departments and providers to optimize scheduling and patient flow.
• Maintain confidentiality of patient information in compliance with HIPAA and organizational policies.
• Document all scheduling activities and patient interactions accurately and promptly in the EHR.
• Identify and elevate scheduling conflicts, urgent requests, or complex cases to appropriate staff or leadership.
• Support front desk and registration functions as needed to ensure smooth patient access and service delivery.
