Job Summary
Responsible for front line support to the department. Coordinates and performs front line office activities in an effective and efficient manner. Greets and registers incoming patients, supports the patient check‑out process, and schedules future appointments as needed.
Key Responsibilities
- Check patients in for appointments and accurately verify demographics.
- Ensure all check‑in procedures are completed and monitor patient wait times, communicating changes to the patient as necessary.
- Read and interpret insurance responses, and assign primary, secondary and tertiary insurance based on encounter guidelines.
- Ensure the patient receives necessary disclosure and privacy information and obtain required legal and financial signatures.
- Communicate financial obligations to patients and collect fees at the time of service as appropriate.
- Complete all necessary regulatory forms with the patient.
- Schedule any necessary follow‑up appointments, including specialty or ancillary services.
- Process multi‑channel messages related to patient or physician requests regarding appointments, referrals, prescriptions and complaints.
- Notify patient or guarantor of anticipated financial responsibility, including copays, deductibles or coinsurances, and collect accordingly.
- Perform cash posting according to department guidelines.
- Abide by organizational and HIPAA guidelines, privacy practices, patient confidentiality and patient rights.
- Independently manage work queues to ensure timely resolution of all accounts.
- Maintain productivity and quality performance expectations.
- Maintain a high regard for confidentiality.
- Accurately perform medical record maintenance and releases.
- Assist with referrals and pre‑certifications at the time of encounter.
- Properly utilize and maintain patient recall and reschedule lists.
Qualifications
- Education: High School Diploma or Equivalent (GED) – Required.
- Minimum of 1 year of related work experience – Preferred.
- Skills: Clerical I, Communication, Customer Service, Office politics and confidentiality.
