Job Summary
Responsible for front line support to the department. Coordinates and performs front line office activities for the department, greeting and registering incoming patients, supporting the patient check out process and scheduling future appointments as applicable.
Job Duties
- Check patients in for appointments and verify demographics accurately.
- Ensure all check‑in procedures are completed and monitor patient wait times, communicating changes to patients as necessary.
- Read and interpret insurance responses, applying general guidelines and insurance rank requirements to assign primary, secondary, and tertiary insurance per encounter.
- Provide necessary disclosure and privacy information, obtain legal and financial signatures, and communicate financial obligations to patients.
- Collect fees at the time of service as appropriate and handle cash posting following department guidelines.
- Complete all required regulatory forms with patients.
- Schedule any necessary follow‑up appointments, including specialty or ancillary services.
- Process multi‑channel messages related to patient and physician requests (appointments, referrals, prescriptions, complaints).
- Notify patients or guarantors of anticipated financial responsibility, including copays, deductibles, or coinsurances, and collect accordingly.
- Work independently with work queues to ensure timely resolution of all accounts, maintaining productivity and quality performance expectations.
- Maintain patient confidentiality and privacy practices in accordance with HIPAA and organizational guidelines.
- Accurately perform medical record maintenance and releases; assist with referrals and pre‑certifications at the time of encounter.
- Utilize and maintain patient recall and reschedule lists.

Hours: Days 6:45am-5:00pm (rotating start/end times)
