Job summary

CAMCO Property Management is seeking a dedicated individual for an administrative position within our community management team. The successful candidate will play a crucial role in supporting property management operations, coordinating essential functions, and maintaining vital records. A background in administration and customer service is key, with responsibilities including telephone management, report preparation, and inventory control.

This is a great opportunity for an organized and proactive person to contribute to the efficiency and success of our community. The role offers compensation of $19 - $21 per hour, depending on experience.

Qualifications

  • Education - Associate's degree or equivalent experience.
  • Experience - 3 to 5+ years in related field.

Responsibilities

  • Answer telephone and handle messages courteously and accurately.
  • Prepare Management and committee reports for review.
  • Maintain resident information in database and provide reports.
  • Track insurance certificate requests and maintain records.
  • Manage supply closet and request office supplies as needed.
  • Handle accounts payable invoices and mail distribution.
  • Prepare move-in packages and maintain inventory of keys.
  • Ensure safety procedures are followed.

Job description

Overview

As a key member of the community management team, this position provides essential administrative, operational, and organizational support that helps ensure the smooth day-to-day management of the Association. The successful candidate will play a vital role in supporting property management operations, coordinating administrative functions, maintaining critical records and reports, and assisting with special projects that contribute to the overall success of the community.

Responsibilities
  • Ensures that the telephone is answered properly and messages are handled courteously, accurately, and in a timely manner.
  • Initiates preparation of Management Reports, committee reports, and meeting notices as applicable and submits for the Manager’s review and approval.
  • Maintains, updates, and coordinates resident information in the computer database at a minimum on a monthly basis. Generates and provides this information to the Property Manager, Board of Directors, and valet desk.
  • Keeps track of insurance certificate requests. Maintains insurance records and books for both vendors and unit owners.
  • Maintains the supply closet. Requests all office supplies and equipment, following established purchasing procedures.
  • Opens and distributes mail, prepares accounts payable invoices with work orders, and receives tickets. Stamps and codes invoices for P.M. to code and approve.
  • Prepares move-in packages for resale and leases.
  • Creates files, compiles, and coordinates all necessary information and documentation for new owners/leases.
  • Prepares any resident information packages that require Board approval (i.e., Architectural Modification).
  • Maintains inventory of common area keys, transmitters, and key fobs for residents and re-orders as needed following established procedures. Maintains log for sales and cash purchases as needed.
  • Follows safety procedures and maintains a safe work environment.
  • Other duties as required.
Qualifications
  • An associate's degree with a concentration in business is preferred, or an equivalent combination of education and experience.
  • Three (3) to five (5) plus years of related work experience.
  • Strong administrative background.
  • Strong working knowledge of customer service principles and practices.
  • Excellent interpersonal, office management, and communication skills.
  • Intermediate proficiency in Microsoft Windows software.
Compensation

$19 - $21 hourly
