Job summary

Northwestern University is seeking a part-time SPICE Lab Program Assistant to help run a fast-moving research lab in Evanston, supporting data collection, travel logistics, purchasing, and day-to-day operations.

The role involves coordinating participant recruitment and scheduling, IRB paperwork, and reimbursements, while maintaining the lab calendar and vendor relations. Onboarding new students/staff is also part of the role.

Qualifications

• 2+ years in lab management, research coordination, or office administration.
• Strong organization, attention to detail, and follow-through.
• Experience with IRB processes is a plus.

Responsibilities

• Support data collection: recruit and schedule participants, handle IRB paperwork, consent, and payments.
• Book travel, rooms, and meetings; build itineraries; maintain lab calendar and deadlines.
• Handle purchasing, reimbursements, and expense documentation.
• Track equipment, inventory, and supplies; manage vendor relationships.
• Onboard new students and staff.
