Job Summary
The Part-Time Document Management and SharePoint Specialist is responsible for organizing, maintaining, and managing electronic files and records within SharePoint and other Microsoft 365 applications. This position supports efficient document control, records retention, data accuracy, and accessibility compliance. The ideal candidate will have experience with SharePoint, strong Microsoft Office skills, and knowledge of document accessibility standards.
Department-Specific Responsibilities
- Performs document and file management
- Organizes, maintains, and updates electronic records and file repositories
- Creates and manages folder structures, metadata, document libraries, and version control systems
- Ensures documents are accurately indexed, categorized, and archived according to organizational policies
- Performs routine audits to verify document accuracy, completeness, and compliance with retention requirements
- Assists with records retention and disposition processes
- Maintains and updates SharePoint sites, document libraries, and permissions
- Uploads, organizes, and manages content within SharePoint environments
- Supports users with document retrieval, collaboration tools, and SharePoint navigation
- Implements best practices for file naming conventions and records management
- Troubleshoots basic SharePoint issues and coordinates with IT support as needed
- Utilizes Microsoft Word, Excel, PowerPoint, Outlook, Teams, and OneDrive to support departmental operations
- Creates reports, spreadsheets, presentations, and tracking tools as needed
- Assists in migrating documents and data between Microsoft 365 platforms
- Ensures document accessibility
- Reviews and remediates documents to ensure compliance with accessibility standards, including Web Content Accessibility Guidelines (WCAG) and Section 508 requirements
- Creates accessible Word documents, PDFs, PowerPoint presentations, and Excel files
- Uses accessibility checkers and assistive technology testing tools to identify and correct compliance issues
- Provides guidance on accessible document design and formatting best practices
- Ensures confidentiality and security of sensitive information
- Follows established policies regarding data governance, records retention, and information security
- Maintains detailed documentation of processes and procedures
- Supports audits and compliance reviews as needed
Qualifications
Education
- Required: High school diploma or equivalent (such as HSED or GED)
- Preferred: Bachelor's degree
Work Experience
- Required: 2 years of experience in document management, records management, administrative support, or a related field
- Preferred: Experience working in higher education, healthcare, government, or regulated environments
Licenses and Certificates
- Preferred: SharePoint or Microsoft certification

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer for extended periods and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This position is eligible for remote work, subject to change in the future based on university policy and business needs.
Advertised Salary
$23.00 - 25.00 per hour based on experience
Work Hours
20 - 25 hours per week This is a part time position.
