Job summary

Indiana University Bloomington is seeking a part-time Administrative Assistant to provide complex administrative support within Undergraduate Education. This in-person role is based in Bloomington, Indiana, and requires 25–29 hours weekly.

You will answer phones, schedule appointments, prepare sensitive correspondence, handle confidential information, and assist with purchasing, travel, and surveys created in Qualtrics. Strong organizational, communication, and multitasking skills are essential.

Qualifications

  • High school diploma or equivalent (HSED or GED).
  • 2 years of relevant experience.

Responsibilities

  • Answers phone calls, schedules appointments, and prepares sensitive correspondence.
  • Handles confidential administrative tasks with tact and diplomacy; assists with purchasing, travel, credit card reconciliation, and facilities requests.
  • Screens and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Schedules and confirms appointments and meetings; tracks expenses.
  • Contributes to developing and implementing administrative standards and policies.

UNDERGRADUATE EDUCATION (BL-VPUE-IUBLA)

In addition to student-focused services, Undergraduate Education provides professional development and support for educators to advance innovative, high-impact undergraduate teaching and learning.

The Part-Time Administrative Assistant will provide complex administrative support to a department or group of professionals under general supervision.

Department-Specific Responsibilities
  • Answers phone calls, setts appointments, and prepares sensitive correspondence.
  • Provides administrative support exercising confidentiality, tact, and diplomacy, which may include assisting with the following: purchase orders and requisitions; travel arrangements; reconciling credit card statements; requesting office furniture and services from Capital Planning; and creating surveys through Qualtrics.
  • Receives, screens, and directs incoming calls, visitors, mail and email promptly, courteously, and accurately.
  • Schedules and confirms appointments and meetings.Tracks expenses.
  • Participates in the development and implementation of administrative standards, policies, and practices for the organization.

EDUCATION

This role requires the ability to effectively communicate and to operate a computer and other standard office equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

$17.00 - $17.50 per hour
